Position Title:
Assistant Director - Student Services and Enrollment

Position Type:
Fixed Term (Fixed Term)

Hiring Range:

$29.57 - $33.94/hour; Compensation will be based on education, experience, skills relevant to the role, and internal equity.

HourlyA. POSITION PURPOSE

The Assistant Director - Student Services and Enrollment works as part of the Santa Clara Online team, reporting to the Director of Student Services. This position will oversee engagement activities and assist in the retention of online graduate students by providing academic advising, implementing academic policy, and coordinating student services and events. This position provides excellent customer service to students, faculty and staff and assists with the organization of co-curricular and professional development programs for all enrolled students.

In addition, this position will assist with the communication of information to prospective students by nurturing relationships with prospective students and assisting with various recruitment and admissions processes.

This start date for this position is July 1, 2025 or after.

B. ESSENTIAL DUTIES AND RESPONSIBILITIES

45% Academic Support and Records Management.
  • Maintain current and thorough knowledge of the university and the various online degree programs
  • Coordinate opportunities and provide academic advising for new and returning students.
  • Work with the Admissions team to ensure a smooth file transition for matriculated students.
  • Update, maintain, and provide information regarding student academic records (course credits, waivers, transfer credits, holds, leaves of absence)
  • Manage academic standing reports to include academic warning, probation, disqualification.
  • Process quarterly registration; including but limited to:
  • Monitor enrollment and manage waitlist process during registration period
  • Determine and meet timelines for all records-related activities
  • Identify areas in which to streamline the process
  • Work with Bursar's Office on various issues related to tuition and fees
  • Assist with graduation and degree conferral
  • Work with each student to ensure degree completion and conferral.
  • Provide information to all degree candidates regarding Commencement events
  • Monitor student activity in LMS systems and online courses
  • Work with the online program management provider on special items, and projects as needed.


30% Student Engagement and Student Event Planning
  • Maintain high levels of student engagement and conduct proactive outreach through email, phone calls, mailers, and other communication channels with students upon matriculation.
  • Notify students of school-specific events, upcoming opportunities, and important dates and deadlines to students through email, newsletters, and student services Camino pages.
  • Assist with new cohort meet-and-greets, new student orientation sessions, and other virtual and in-person events.
  • Coordinate and support the weekend on-campus residencies for online programs.
  • Respond to student concerns in a timely manner and connect students with the appropriate campus resources and departments as needed.
  • Other duties as assigned.


25% Admissions and Recruitment
  • Be knowledgeable and answer questions regarding graduate online programs, degree requirements and application process.
  • Execute the day-to-day recruitment activities including but not limited to outreach and recruitment, prospect and lead generation
  • Represents Santa Clara Online at events on and off campus for prospective students, virtual events, undergraduate institutions, agency and district partners
  • Increase Santa Clara Online's visibility through outreach programs, graduate school fairs, training seminars and presentations for recruitment of students from targeted communities
  • Track and monitor student movement through the online application process and guide them to meet specific deadlines
  • Collaborate with other admissions departments on campus to streamline and understand processes.
  • Oversee effective recruiting events for online graduate programs and work in tandem with the various colleges and schools
  • Other duties as assigned.

E. QUALIFICATIONS

1. Knowledge
  • Understanding and supporting the Jesuit tradition of education and a commitment to the fundamental values of service to others, community, and diversity.
  • Knowledge of Microsoft (mail merge), Excel, PowerPoint, Workday, and
  • Google Apps for Education (at least familiarity and willingness to learn).
  • Knowledge of working with online students and various Learning Management Systems is ideal.

  • Strong expertise in graduate business school recruiting, application operations, and student support preferred
  • Exceptional management experience and administrative skills.
  • Demonstrated interpersonal, customer service, written, and oral communication skills.
  • Strong communication and presentation skills; team player.

  • Ability to exercise sound and appropriate judgment in a challenging work environment

4. Education and Experience
  • Bachelor's Degree Required, Master's degree preferred.
  • Minimum 0-3 years of relevant work experience preferred, preferably in higher education administration.
