Overview

The Assistant Director of Research Administration is a people manager and section-level leader within the Department of Internal Medicine Post-Award Research Administration team, supporting the Cardiology section, the largest and most research-active section in the department. This role is responsible for the direct supervision of Grant and Financial Analsyts (M&P) and Financial Assistants (C&T) within the section, carrying a personal portfolio focused on section chief and complex portfolios, and serving as a critical link between front-line staff and departmental leadership. The Assistant Director facilitates bi-monthly roundtable sessions for hybrid and New Haven-based staff and plays a key role in team engagement, compliance oversight, and hiring decisions within the section. This role will also take on additional duties specific to the Cardiology section and participate in long-term departmental planning initiatives as directed by the Director of Research Administration.

Required Skills and Abilities
  • 1. Strong financial and analytical skills with demonstrated application of financial, accounting, and compliance concepts in a research administration setting.
  • 2. Proficiency in Microsoft Excel including pivot tables.
  • 3. Demonstrated people management skills including experience supervising both M&P and C&T union personnel.
  • 4. Experience in salary effort and allocations, journal entries, cost transfers, award setup, and budget management in Workday or a comparable financial system.
  • 5. Understanding of subawards, Uniform Guidance (2 CFR 200), and federal compliance requirements. Demonstrated ability to meet both soft and hard deadlines consistently and maintain key operational metrics including labor suspense resolution, timely effort reporting certification, and other compliance-driven financial management benchmarks within required timeframes.
Preferred Skills and Abilities
  • 1. Proficiency in Yale Budget Tool (YBT) and Workday including award setup, budget modification, effort certification, and financial reporting.
  • 2. Familiarity with IRES, Hyland, OnCore, iLab, and Salesforce. Experience with Core Services (University Service Providers) including billing coordination and institutional service center compliance.
  • 3. Knowledge of NIH award mechanisms and RPPR progress report oversight.
  • 4. Prior experience as a people manager with demonstrated ability to supervise, develop, and retain staff in a research administration or comparable academic setting.
  • 5. Yale research administration experience strongly preferred. Certified Research Administrator (CRA) certification preferred.
Principal Responsibilities
  • 1. Provide leadership and strategic direction in development and modification of department’s financial and administrative policies and procedures as well as to the business office staff and all daily financial activities of the department.
  • 2. Develop and maintain department-wide forecast model as well as short term and long-term programmatic financial business plans.
  • 3. Develop and disseminate straightforward and comprehensive financial reports and facilitate units in financial and business planning with a goal of maximizing revenues and minimizing costs.
  • 4. Identify and monitor external and internal factors influencing the organization’s mission and goals. Plans for financial and non-financial resources required for the organization to achieve its goals.
  • 5. Collaborate with budget office and leadership to prepare and support annual university Corporation Budget process. Responsible for timely and accurate budget input and adjustments for all operating sources of funds. Create budget narrative and assist with annual presentation to leadership.
  • 6. Implement and maintain strong internal controls to provide reasonable assurance of effective and appropriate resource use, accurate financial information, adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements and reporting.
  • 7. Identify, communicate, address, and/or eliminate risks in a timely and appropriate manner to protect the assets, resources, information and reputation of the organization and the University.
  • 8. Ensure all staff understand and comply with the relevant regulations and requirements as they pertain to their scope of activity.
  • 9. Advise and collaborate with campus partners on all financial matters, planning, reporting, etc.
  • 10. Oversee business office staff.
