Assistant Director of Administrative Services - Camp Seafarer/Camp Sea Gull

The Assistant Director of Administrative Services will oversee budget planning, staff supervision, risk management, and development, including leadership in our annual campaign. This role manages the welcome center, general administration, and registration office.

ESSENTIAL FUNCTIONS:

  • Support camper program registrations and related communications, including acceptance, waitlist, cancellation letters, camper forms, and mailing.
  • Manage correspondence and administrative support for Executive Directors.
  • Assist with Registration Office duties and processes.
  • Coordinate luggage and UPS pickups with Operations Directors.
  • Handle all horseback riding applications, cancellations, enrollment counts, payments, and mailings.
  • Assist with hiring, coaching, performance appraisals, and terminations of office staff.
  • Supervise the Camper Certificate process.
  • Set goals and deadlines with the Director of Administrative Services.
  • Assist with projects like mailings and special assignments.
  • Supervise office staff during extended hours and weekends in summer.
  • Use Personify software for program orders, registrations, and product setup.
  • Understand all camp programs, policies, financials, and online transactions to communicate effectively with customers.
  • Attend meetings and training to maintain knowledge.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • Bachelor’s degree preferred, with at least two years’ experience in an Administrative Services Office.
  • Customer service skills and ability to work in a fast-paced environment.
  • Strong organizational, managerial, and interpersonal skills.
  • Professional, genuine, welcoming, courteous, and friendly demeanor.
  • Proficiency with computers and database management.
  • Valid driver’s license required.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

This role involves extensive computer use, communication via phone and digital devices, sitting, reaching, and occasional lifting up to 10 pounds. Reasonable accommodations are available for individuals with disabilities. The environment is moderate noise, and COVID safety protocols are in place.
