Job summary

Signature Health, Inc. is seeking an Assistant, Credentialing and Onboarding to support credentialing, onboarding, and provider CAQH profiles. You will help manage file completion, onboarding communications, and coordination with IT and education teams to ensure a smooth start for new hires.

The role emphasizes accuracy with credentialing timelines, state background checks, license updates every 120 days, and regulatory compliance across Joint Commission and NCQA standards.

Qualifications

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • Minimum one year credentialing or onboarding experience.
  • Experience with data systems or credentialing software.
  • Attention to detail and strong organizational skills.

Responsibilities

  • Assist with sending credentials file for completion and ensuring file completion within specified time periods.
  • Assist with preparing onboarding file for completion and ensuring file completion within specified time periods.
  • Assist with pre-orientation communications to new hires, managers and stakeholders; notify IT to initiate provisioning and coordinate with Education & Training for day-one handoff.
  • Support onboarding in-person appointments; process and monitor state background check requirements and collect necessary paperwork.
  • Support I-9 record retention and ensure licenses/certifications are updated every 120 days as required.
  • Ensure CAQH accounts are updated every 120 days and CAQH provider accounts are created, maintained, and terminated as needed.
  • Monitor the intake, reappointment and exportable process for all medical/professional staff and delegated providers with compliance to governing bodies.

SCOPE OF ROLE

Reporting to the Specialist, Credentialing and CAQH, the Assistant, Credentialing and Onboarding will assist with the credentialing and re-credentialing, onboarding, staff transfer process and maintain provider CAQH profiles. The Assistant, Credentialing and Onboarding assists Signature Health Inc. credentialing, including initial appointment, reappointment, modification, certification expirations and renewals, as well as clinical privileging for Medical Staff, Health Professionals, and all other providers as needed. The Assistant, Credentialing and Onboarding demonstrates accountability, ownership, and reliability for ensuring a successful new hire and internal transfer experience.

HOW YOU'LL SUCCEED
  • Assists with sending credentials file for completion and ensuring file completion within time periods specified.
  • Assists with preparing onboarding file for completion and ensuring file completion within time periods specified.
  • Assists with pre-orientation communications to new hires, managers and stakeholders, ensure completion of new hire onboarding documents, notify IT to initiate provisioning process, and partner with the Education & Training team for a smooth hand off for orientation on day one
  • Can assist with the new hire's Onboarding in-person appointment; process and monitor results for state background check requirements (BCI/FBI), collect necessary paperwork, and communicate process next steps.
  • Provide additional support for the I-9 record retention process. Responsible for ensuring all provider licenses, board certifications, Deas, and other related certifications are updated every 120 days in accordance with all requirements.
  • Responsible for ensuring all providers CAQH accounts are updated every 120 days in accordance with all requirements.
  • Responsible for ensuring CAQH provider accounts are created, maintained, and terminated when necessary.
  • Monitors the initial, reappointment and exportable process for all medical staff, professional staff, and delegated providers, ensuring compliance with regulatory bodies (Joint Commission, NCQA, URAC, CMS, CARF, HRSA, federal and state), as well as Medical Staff Bylaws, Rules and Regulations, policies and procedures, and delegated contracts.
  • Intake Specialist Other duties as assigned.
Requirements
KNOWLEDGE & EXPERIENCE
  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Minimum one (1) year of credentialing or onboarding experience preferred.
  • Demonstrated experience with data systems or credentialing software required.
  • Attention to detail and demonstrated organizational skills required.
WORKING CONDITIONS
  • Work is normally performed in a typical interior/office/clinical work environment.
  • While hours of operation are generally standard, flexibility to work evenings and extended hours may be required.
  • Requires periods of sitting, standing, telephone, and computer work.
  • Hearing: adequate to hear clients or patients in person, over the telephone or through telehealth technology.
  • Speaking: adequate to speak to clients or patients in person, over the telephone or through telehealth technology.
  • Vision: Visual acuity adequate to perform job duties, including reading information from printed sources and computer screens.
  • Physical effort required: occasional lifting and carrying items weighing up to 15 pounds, unassisted.
  • Possible exposure to blood borne pathogens while performing job duties.
  • Frequent bending, reaching, and repetitive hand movements, standing, walking, squatting and sitting, with some lifting, pushing and pulling exerted regularly throughout a regular workday.
  • Sufficient dexterity to operate a PC and other office equipment.
