Job description

General Description:

The Assistant Clinical Manager is a Master's level practitioner or a Board-Certified Behavior Analyst (BCBA) responsible for overseeing a region of clients and providing clinical support to the Associate Clinical Supervisor (ACS). This role involves collaboration with the Executive Clinical and Operations Director and includes responsibilities such as conducting quality assurance reports, performing fidelity checks, managing cases, and ensuring continuous client progress throughout the treatment period. The Assistant Clinical Manager is also tasked with overseeing behavior intervention plans (BIPs) designed to address behaviors of concern and areas of client deficit. Treatment plans primarily focus on medical necessity and may be implemented in various settings, including the patient's home, school, community, or through telehealth. Additionally, the Assistant Clinical Manager ensures that all cases under their jurisdiction receive proper support, report deadlines are met, and clinical assistance is provided as needed. This position also includes direct supervision of the Associate Clinical Supervisor and adherence to BACB ethical and supervision guidelines. The Assistant Clinical Manager is a pathway to the Clinical Manager position and reports directly to the Executive Clinical and Operations Director.

Essential Job Duties:

Clinical Management:

  • Presents a strong and advanced background in the implementation of ABA based principles and culturally responsive behavior support plans.
  • Uses clinical, organizational skills, and data to work with the Associate Clinical Supervisor to foster socially valid outcomes for each client.
  • Provides oversight and feedback for supervisory staff on assigned cases.
  • Support the Associate Clinical Supervisors to ensure they are delivering services in accordance with BTA expectations:
    • HIPAA Compliance
    • Mandated Reporting
    • Clinical Standards with regard to care delivery
    • BACB Ethical Standards and Guidelines
    • Driving a culture of Safety for Clients and Staff
    • Timely submission of Reports to BTAs Quality assurance team and the funding source.
  • Support with the implementation of clinical services:
    • Ensure all cases are properly staffed.
    • Management of client and staff cancellations.
    • Ensure appropriate data collection and procedures throughout the treatment period for each client.
    • Analyze and interpret data on a monthly basis to ensure validity of treatment goals.
    • Review progress reports and submit to BTAs Quality assurance team at least 35 days prior from the authorization ending for each client.
  • Offer coaching and guidance to the Associate Clinical Supervisor using Behavior Skills Training and other evidence-based practices.
  • Overlap with Associate Clinical Supervisors on each case as needed.
  • Conduct ongoing staff training and coaching as needed.
  • Administer competency assessments for new RBTs.
  • Attend monthly Clinic Meetings.
  • Collaborate with other CMs and Operations Managers in the region.
  • Write session notes for every converted appointment (direct and indirect) in an objective and detailed manner.
  • Other tasks as assigned.
  • 120 monthly billable hours.

Operational Management:

  • Oversee Manage all Associate Clinical Supervisors within their caseload.
  • Conduct case audits to ensure clinical prescription fulfillment and ensure services are delivered within contractual requirements.
  • Collaborate with the Operations Manager on regional issues using a systems thinking and OBM approach:
    • Supervisor and direct staff retention
    • Family Satisfaction
    • Staff billable hours
    • Utilization of hours in each case.
    • Excessive client and staff cancellations.
    • Organizational culture within the region and clinic
  • The ACM will take 20% of high level supervision hours to conduct fidelity checks or offer clinical support as needed.
  • The ACM will manage between 36-45 clients on their caseload.
  • Other tasks as assigned.

Administrative Responsibilities:

  • Answers emails in a timely manner (within 24 hours).
  • Schedule assigned hours by Thursday of each for the following work week.
  • Communicate with the supervising team to address any conflict or issues that may arise during sessions.
  • Attend staff/regional meetings and mandatory training as directed by the Executive Clinical and Operations Director.
  • Attend scheduled clinical meetings.
  • Bill in accordance with funding source and company protocols.
  • Convert scheduled sessions promptly (at the end of each session).
  • Work with the ACS and Scheduling Department to fulfill client’s scheduling needs.

Qualifications/ Requirements:

  • 4-5 years of clinical supervision.
  • Effective caseload management: adherence to report deadlines and proper utilization of hours.
  • Completion of 2,000 experience hours as required by the BACB.
  • Scheduled to sit and test for the BACB exam.
  • Satisfactory work performance evaluations.
  • Master’s Degree or higher in Applied Behavior Analysis, Psychology, or a related field.
  • Licensure and/or Certification in Behavior Analysis, Psychology, or related field.
  • BCBA license is preferred.
