Job summary

Ellie Mental Health is seeking an Assistant Clinic Director in Massachusetts to support the Clinic Director with operations and staff oversight at our Marlborough clinic. You will help manage staffing, clinical documentation, and resource needs while promoting our values of authenticity, humor, compassion, creativity, acceptance, and determination.

You will collaborate with therapy staff to review productivity, supervise clinicians, and assist with hiring and onboarding.

Qualifications

• Master’s degree in behavioral sciences or related field and on track to licensure.
• Massachusetts LMHC/LICSW licensure or eligibility.
• Experience completing DAs, treatment plans and clinical notes.
• Strong written and verbal communication skills.
• Ability to work with diverse client populations; Office 365 and EHR familiarity.

Responsibilities

• Participate in the weekly Clinic Director meeting.
• Provide 1:1 supervision with therapy staff to review productivity and caseload.
• Assist with staffing, onboarding, and administrative oversight.
• Troubleshoot issues within Valant, Teams, Outlook, and billing.
• Monitor clinic capacity and assist with agreement of health records and reports.
• Coordinate with CD to support hiring process, including screening and interviewing.

Role Overview

The Assistant Clinic Director is responsible for supporting the Clinic Director in the oversight of performance and operations of the clinic. This role supports the Clinic Director and clinic staff, assists with staffing needs, provides resource support, and performs administrative oversight. Tasks & Responsibilities

Supervision and Consultation

• Participate in the weekly Clinic Director meeting
• Participate in the weekly Clinic Manager meeting
• Provide 1:1 consultation with all therapy staff to review productivity, caseload, and clinical documentation

Administrative

• Troubleshoot issues within Valant, Teams, Outlook, and billing
• Review EHR service lines and complete Error Correction Form as needed
• Monitor Clinic capacity and practice patterns by assisting in creation of Clinic Heath Card
• Support clinic staff development to ensure accurate use of Valant
• Partner with CD to support administrative changes as needed
• Coordinate with CD to support the hiring process, including screening, interviewing, and onboarding

Clinic Oversight

• Assist CD with monitoring and managing clinic office schedules
• Provide timely response to concerns raised by clients, clinicians, or external stakeholders
• Check clinic performance data weekly and assist CD with identifying opportunities to improve clinic functioning and quality of client care
• Maintain agreed upon clinical client caseload

Required Skills/Abilities

• Candidates must have clinical licensure in Massachusetts and be able to supervise. (LMHC or LICSW)
• Strong leadership, problem-solving, and executive skill sets
• Strong working knowledge of state requirements regulating mental health practice
• Excellent verbal and written communication skills; Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail
• Working understanding of human resource principles, practices, and procedures
• Excellent time management skills with a proven ability to meet deadlines
• Ability to function well in a high-paced and changing environment
• Proficient with Microsoft 365 applications
• Adept at learning and navigating Electronic Health Record systems

Required Qualifications And Skills

• Candidates are required to have a master’s degree in one of the behavioral sciences or related fields from an accredited college or university and on track to obtain licensure in their designated field
• Required experience with completing DAs, treatment plans and clinical case notes
• Effective written and verbal communication skills
• Ability to demonstrate and model stable, appropriate boundaries with clients
• Ability to complete and submit documentation of services and other documents in a timely manner
• Comfort and familiarity working with a diverse client base
• Proficient in the use of Office 365 and Electronic Health Record systems (Valant experience a plus!)

Compensation

Compensation: $70,000.00 - $90,000.00 per year
