JOB DESCRIPTION

Job Title: Assistant City Administrator

Classification: Permanent Full-Time
Department: Administrative

Reports to: City Administrator

Wage: D.O.E.

Regular Work Schedule: 7 Hours per Day @ 5 Days a Week.

General Functions

Assist the City Administrator with maintaining all of the administrative functions of the City and acts as a point of contact in the absence of the City Administrator. The position is also responsible for all of the administrative/clerical tasks at the Anchorage Office including City staff travel arrangements and scheduling.

Duties and Responsibilities
  • 1. Maintains the administrative functions of the City and ensures that the policies established by the Council are properly implemented at the discretion of the Administrator and/or at the Administrator’s absence.
  • 2. Assist with the preparation and administration of the City budget, as well as the development of documents such a capital budget plan, personnel policies and procedures.
  • 3. Administers and coordinates federal and/or state grants applied for and received by the City; stays abreast of grant programs and opportunities for future funds.
  • 4. Assists the City Administrator with supervision of Code enforcement and consults and cooperate with committees and community group as assigned by the City Administrator
  • 5. Prepare administrative directives and bulletins and conducts on request of the City Administrator analysis of administrative programs and projects confronting City operations.
  • 6. Prepares reports, agendas, and other information for submission by the City Administrator to the governing body or other groups.
Additional Responsibilities
  • 1. Perform clerical tasks of filing, maintaining physical and electronic records, scanning and faxing documents, receiving and sorting mails, processing outgoing mail, inventory, ordering supplies and other related tasks as assigned.
  • 2. Responsible for scheduling appointments, reservation and travel arrangements for City staffs and other personnel as directed by Mayor and/or City Administrator.
  • 3. Performed other duties as assigned by the Mayor and City Administrator.
Job Specification
  • 1. Some knowledge of municipal budgetary principle and practices.
  • 2. Some knowledge of general operations of a City government
  • 3. Ability to study municipal operations and make recommendations for improvements
  • 4. Ability to express ideas and information clearly, concisely and convincingly both orally and in writing to staff, the governing body, and to the general public.
  • 5. Ability to set goals and to meet deadlines and to work independently with minimal supervision
  • 6. Ability to travel to the Village of Akutan on a moment notice to assist with projects and other related City activities as required.
Qualifications
  • 1. Have at least a Bachelor Degree in Public Administration, Business Administration or related field from an accredited university.
  • 2. A minimum of three years of experience in municipal government operations, project management, grant process and contractual agreement negotiations.
  • 3. Pass background check with valid Alaska Driver’s License.
