Assistant Accounting Manager - Operations

Position Description:

Under the supervision of department manager(s), the full-time Assistant Accounting Manager oversees daily accounting activities, manages projects, and assists internal and external customers. This is an exempt, full-time role.

Primary Responsibilities

  1. Payment and Financial Processing
  • Prepare, initiate, and post ACH payments, wire transfers, and online payments; prepare related journal entries.
  • Review payment proposals and process payments for invoices and reimbursements.
  • Approve expense invoices for accuracy and compliance.
  • Reconciliation and Reporting
    • Process and reconcile credit card statements.
    • Reconcile assigned balance sheet accounts.
    • Support CNS CASS reconciliation.
    • Assist with AP aging clean-up and vendor file updates.
    • Support 1099 reporting.
    • Complete vendor credit applications.
    • Maintain and update vendor files for accuracy and compliance.
  • Team Leadership and Coordination
    • Supervise 2–3 accounting staff, providing guidance, training, and performance reviews.
    • Collaborate with other departments to improve processes and address interdepartmental tasks.
    • Ensure accurate record-keeping for duties and projects.
  • Analysis and Problem-Solving
    • Investigate and resolve accounting discrepancies, reporting findings to management.
    • Organize and analyze documentation for transactions.
  • Customer Service and Communication
    • Respond promptly to inquiries from stakeholders.
    • Maintain communication with overseas affiliates, agents, vendors, and departments.
  • Ad Hoc Tasks
    • Provide coverage during absences.
    • Undertake additional projects as assigned.

    Qualifications:

    • Bachelor’s degree in Accounting or related field.
    • 5-10 years of operational accounting experience.

    Technical Skills

    • Proficiency in MS Excel (VLOOKUP, pivot tables) and Word.
    • Experience with SAP preferred.
    • Knowledge of U.S. GAAP, SOX, or Japan SOX regulations.
    • Experience in freight-forwarding or logistics industry is a plus, not required.
    • Strong project management, analytical, and problem-solving skills.
    • Attention to detail, organization, and multi-tasking in a fast-paced environment.
    • Effective English communication skills, verbal and written.
    • Customer service skills with a proactive approach.
    • Self-motivated, adaptable, committed to learning.

    Physical Requirements

    • Ability to sit, stand, and walk for extended periods.
    • Lift up to 20 lbs. as needed.
