Advanced Systems Design, Inc. is seeking an IT Asset Management Specialist to oversee the end-to-end lifecycle of technology assets for a client in Montgomery, AL.

This onsite role requires in-person availability from day one and involves receiving, tagging, tracking, auditing, and disposing of assets in compliance with state and federal guidelines. The specialist will maintain accurate inventory records, support asset lifecycle activities, and work with procurement, finance, and security teams

Qualifications

• 3–5 years in IT asset management, inventory control, logistics, or procurement.
• Strong accuracy in record-keeping and documentation.
• Knowledge of IT hardware: computers, peripherals, networking gear, mobile devices.
• Experience with asset tagging, inventory systems, and barcode/RFID tech.

Responsibilities

• Asset Receiving and Inventory Management: record received assets, tag and classify hardware.
• Maintain inventory records with location, status, ownership and lifecycle data.
• Track equipment movement through formal chain-of-possession procedures.
• Asset Auditing and Compliance: perform physical audits and reconcile discrepancies.
• Prepare audit documentation and compliance reports for audits.
• Asset Lifecycle Management: support deployment, transfers, repairs, returns and disposal.
• Ensure disposal complies with state regulations and data security standards.
• Operational Support: maintain secure storage and collaborate with procurement, finance, security, IT ops.
• Develop and improve asset management policies, procedures, and reporting.

This position is onsite in Montgomery, AL, and requires in-person availability starting day 1.

Job Overview:

The IT Asset Management Specialist is responsible for the end-to-end lifecycle management of technology assets across the agency. This role ensures all IT equipment is properly received, recorded, tagged, tracked, maintained, audited, and disposed of in accordance with state policies, federal guidelines, and internal controls. The position supports operational accountability, inventory accuracy, compliance, and financial stewardship of IT resources.

Key Responsibilities:

Asset Receiving and Inventory Management

• Receive incoming IT equipment, verify shipment accuracy, and document all received assets.
• Assign and apply asset tags, ensuring proper identification and classification of all hardware.
• Maintain detailed inventory records within the agency's asset management system, including asset location, status, ownership, and lifecycle information.
• Track the movement of equipment through formal chain-of-possession and chain-of-custody procedures.

Asset Auditing and Compliance

• Conduct periodic physical inventory audits and reconcile discrepancies through investigation and documentation.
• Prepare audit documentation, compliance records, and reports for internal and external audit activities.
• Ensure inventory records remain accurate, complete, and audit-ready at all times.

Asset Lifecycle Management

• Support all phases of the asset lifecycle, including Deployment, Transfers, Reassignments, Repairs, Returns, Surplus processing, Disposal
• Ensure surplus and disposal activities comply with state surplus regulations, environmental requirements, and data security standards.

Operational Support and Process Improvement

• Maintain organized and secure storage areas for all IT assets.
• Collaborate with procurement, finance, security, and IT operations teams to ensure inventory accuracy and compliance with agency standards.
• Assist in the development, implementation, and improvement of asset management policies, procedures, and best practices.
• Respond to asset management inquiries and provide operational reporting and process improvement recommendations.

Required Qualifications:

• Minimum of 3 to 5 years of experience in IT asset management, inventory control, logistics, procurement, or a related operational role.
• Strong attention to detail and ability to maintain accurate and complete records.
• Knowledge of IT hardware, including computers, peripherals, networking equipment, mobile devices, and related technologies.
• Experience with asset tagging, inventory management systems, and barcode/RFID technologies.
• Ability to investigate and reconcile inventory discrepancies.

• Ability to prepare and maintain audit-ready documentation.

Preferred Qualifications:

• Experience working in a government or public-sector environment.
• Familiarity with state surplus property and disposal regulations.
• Experience with IT Asset Management (ITAM) frameworks such as: ITIL, ISO/IEC 19770, Other industry-recognized asset management standards
• Previous experience in procurement, inventory control, logistics, or related operational functions.

Education Required:

• High school diploma or equivalent.

Education Preferred:

• Associate or bachelor's degree in: Information Technology, Business Administration, Logistics, Supply Chain Management, Related field
