Job summary

HDR in the United States is seeking a Washington Area Administrative Manager based in Bellevue to lead area administrative operations and policy development. You will supervise administrative staff, coordinate with HR, and ensure compliant records across the region.

You will partner with area leadership, manage communications (SharePoint, meetings), support engagement committees, and drive tight office execution across multiple sites while upholding HDR’s employee-owned culture and standards.

Qualifications

  • High school diploma or equivalent.
  • Minimum of 10 years related experience.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills.
  • Strong time management and prioritization.
  • Attention to detail and highly organized.
  • Proficiency in MS Word, Outlook, PowerPoint, Excel, Adobe, and SharePoint.

Responsibilities

  • Coordinate, develop and administer area administrative policies and procedures.
  • Oversee area wide office administrative operations.
  • Supervise area-wide administrative support personnel.
  • Interview administrative staff, process resumes, and maintain personnel records.
  • Assist area leadership with personnel administration and executive support.
  • Prepare operating plans and special reports.
  • Execute electronic signatory procedures for contracts and proposals.
  • Maintain workstation records and coordinate staff relocations with IT.
  • Manage area communications, including SharePoint site and meeting materials.
  • Coordinate internal staff events.
  • Support employee engagement committees.
  • Oversee reception desk coverage and backup coverage.
  • Coordinate temporary clerical assistance.
  • Participate in monthly leadership meetings.
  • Perform other duties as needed.

In the role of Washington Area Administrative Manager, we'll count on you to:

  • Coordinate, develop and administer area administrative policies and procedures
  • Take responsibility for area wide office administrative operations
  • Supervise area-wide administrative support personnel,
  • Interview all administrative support personnel, process resumes for all staff positions, and maintain companywide and local office records for personnel and other HR requirements
  • Assist the area leadership with personnel administration, executive administrative support, and preparation of operating plans and other special reports
  • Execute electronic signatory procedures for contracts, proposals, and business forms
  • Maintain a record of assigned workstations in the office and coordinate with internal I.T. team when staff relocate to new workstations
  • Manage area communications, including SharePoint site, scheduling and preparing materials for meetings
  • Assist with the coordination of internal staff events
  • Support employee engagement committees
  • Oversee reception desk coverage and ensure back-up for other administrative team members as needed
  • Coordinate arrangements for temporary clerical assistance as needed
  • Participate in monthly meetings with area leadership
  • Perform other duties as needed

Preferred Qualifications

  • 10+ years professional experience in the Engineering, Architecture, or Construction industry as an office administrator/manager
  • Experience developing internal processes and electronic filing systems
