Job summary

Integrus Architecture is seeking an Office Manager & Billing Specialist to oversee daily office operations, support project accounting, and handle client billing across our Portland offices. The role collaborates with Principals, Project Managers, and clients to ensure accurate financials and smooth administrative workflows.

Qualifications

• Associate degree in Accounting, Business Administration, Finance, or related field or equivalent work experience.
• 3–5+ years of experience in office management, project accounting, bookkeeping, or related administrative role.
• Strong understanding of accounting principles and financial reporting.
• Proficiency in Microsoft Office, particularly Excel.

Responsibilities

• Prepare accurate and timely monthly client billings with Principals and Project Managers.
• Monitor project budgets, time, and expenses, and assist with forecasting and financial projections.
• Maintain project financial information in the financial management system and support month-end close.
• Review invoices against consultant agreements and coordinate approvals.
• Monitor accounts receivable aging and assist with collections.
• Ensure GAAP-compliant financial records and closeout activities.
• Oversee day-to-day office operations and be primary contact for building management and vendors.
• Provide reception and administrative support including mail, travel, and meeting logistics.
