We are seeking an experienced and professional Assistant Office Manager to join our team. The Assistant Office Manager will be responsible for managing and coordinating office operations, ensuring organizational effectiveness and efficiency. This role involves supervising and overseeing administrative staff, managing budgets, and implementing office policies and procedures.
Responsibilities:
- Manage and oversee day-to-day office operations, including administrative tasks and office maintenance
- Supervise administrative staff, assign tasks, and provide training and guidance
- Develop and implement office policies and procedures to ensure smooth operations
- Monitor and Manage office and medical supplies and equipment, and coordinate maintenance and repairs
- Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
- Handle and resolve office-related issues and concerns in a timely and efficient manner
- Manage office budgets and expenses, track spending, and report on financial performance
- Coordinate and schedule meetings, appointments, and travel arrangements
- Maintain office records and files, and ensure compliance with company policies and regulations
- Answering telephone calls and emails from customers and clients and directing them to relevant staff
- Interviewing and training new office employees and organizing their employment paperwork
- Collaborate with other departments and teams to support overall business objectives
- Perform other duties as assigned
Skills and Qualifications:
- Proven experience as an Assistant Office Manager or similar role
- Excellent organizational and time management skills
- Strong leadership and supervisory abilities
- Proficient in Microsoft Office and other office software
- Excellent communication and interpersonal skills
- Ability to multitask and prioritize tasks effectively
- Knowledge of office management procedures and best practices
- Bachelor’s degree in Business Administration or a related field preferred
- Strong interpersonal skills to interact positively with all employees
- Attention to detail to ensure tasks are completed thoroughly and correctly
