Job summary

Ivy Tech Community College of Indiana is seeking an Apprenticeship Program Coordinator to support the Apprenticeship Development Manager and Vice Chancellor of Workforce Development in Kokomo and surrounding services areas. You will facilitate enrollment, coordinate with schools and trade groups, and ensure proper data entry and reporting for apprenticeship programs.

The role includes advising apprentices, aligning curricula with majors, and assisting in program growth.

Qualifications

  • Associate degree in related field; Bachelor’s Degree Preferred.
  • Three years related experience in apprenticeship programs or enrollment and registration or related duties.
  • Requires valid driver’s license and ability to travel to other campuses.

Responsibilities

  • Collaborate with the Apprenticeship Development Manager to manage internal aspects of apprenticeship programs.
  • Organize enrollment of apprenticeship students, including communications with students and trade organizations and course creation as needed by employer partners.
  • Coordinate data entry, enrollment records, courses, and grades for timely reports to employers.
  • Cross-collaborate with the Registrar or Business office to ensure documentation is filed and invoices processed.
  • Responsible for Banner input for employer partnership participants.
  • Collect and organize data with high accuracy to meet contractual obligations (DOL, DWD, employers, grants).
  • Provide academic advising aligning company curriculum with student majors and schedules.
  • Assist students through My Ivy and enrollment steps; support ongoing communication.
  • Assist in developing, managing, and maintaining database of company-sponsored apprentices.
  • Order and maintain supplies for employer partner programs and related documents.
  • Other duties as assigned within FERPA and regulatory requirements.

GENERAL PURPOSE AND SCOPE OF THE POSITION:

The Apprenticeship Program Coordinator will assist the Apprenticeship Development Manager and Vice Chancellor of Workforce Development in the internal day-to-day operation of the relationship between current employer partners and their apprentices within the Kokomo service areas apprenticeship programs. This will include facilitating enrollment to meet related educational requirements for apprentices and journeypersons seeking to upskill in their training. This position will help apprentices access degree program requirements complementary to their apprenticeship instructional track. The Apprenticeship Program Coordinator will also work on all other aspects of apprenticeship programs as directed by the Vice Chancellor of Workforce Development.

MAJOR RESPONSIBILITIES:
  • Collaborate directly with the Apprenticeship Development Manager to effectively manage the internal aspects of the potential and current apprenticeship programs.
  • Organize the enrollment of apprenticeship students, including but not limited to communications with students and trade organizations, collaboration with schools’ Deans/program chairs for course creation as needed by employer partners, registration of students, financial tracking and data entry, and coordination for any DOL/DWD requirements.
  • Coordinate communication with apprenticeship contacts, and maintain spreadsheets containing enrollment data, courses, and grades of the apprentices to allow for timely reports to employers.
  • Cross-collaborate with other departments such as the Registrar or Business office to ensure all documentation is accurately filed and invoices are processed efficiently.
  • Responsible for all Banner input for employer partnership participants.
  • Collect and organize data with a high level of accuracy and compliance is required to meet contractual obligations for DOL, DWD, employers, and grants.
  • Provide academic advising for new and continuing apprentices by aligning company curriculum with students’ majors and their work schedules.
  • Through orientation and ongoing communication, assist students in defining personal and academic goals, instructing, and introducing students to My Ivy and supporting the student through enrollment steps and other issues that may arise.
  • Assist in the development, management, and maintenance of the database of all company-sponsored apprenticeship students.
  • Assist the Apprenticeship Development Manager with activities to grow company apprenticeship programs.
  • Order and maintain supplies for employer partner programs and maintain appropriate documents.
  • This is not to be construed as an exhaustive list. Other duties logically associated with this position may be assigned. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards.

SALARY:

The annual salary for this role is $45,000.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS:

Associate degree in related field; Bachelor’s Degree Preferred

Three (3) years related experience in one or more of the following areas: apprenticeship programs or journeyperson status, enrollment and registration, adult education, or curriculum and programming or related duties.

Must have a valid driver's license.
