Job summary

State of Utah in Salt Lake City seeks an AmeriCorps program specialist to provide administrative support and coordination for UServeUtah. You will assist with financial and clerical tasks and complex coordination to support AmeriCorps State programs.

The role may be filled at Program Specialist I or II with corresponding salary ranges; candidate will perform a broad set of duties, guided by state and federal requirements, and collaborate across teams.

Qualifications

  • Combination of education and/or direct experience to complete essential duties.
  • Proficiency in planning, coordination and delivery of training.
  • Experience reviewing grant-related reimbursement requests and progress reports.
  • Experience interpreting policies, grant requirements, directives, standards and regulations.

Responsibilities

  • Provide guidance, monitoring, and technical support to ensure Utah AmeriCorps programs meet guidance and requirements.
  • Perform administrative duties and coordinate with program manager on state/federal guidelines.
  • Respond to inquiries, communicate policies, and resolve problems.
  • Coordinate training plans and design/deliver training presentations.
  • Review pre-contract documents and draft contracts in coordination with the program manager.
  • Conduct risk assessments, desk reviews, and site monitoring as required.
  • Review and process reimbursement requests from sub-grantees.

The AmeriCorps program specialist will be a member of the UServeUtah program staff working to support AmeriCorps State programs. In this position candidates must perform a wide variety of administrative support duties ranging from general basic financial and clerical support to complex administrative coordination.

While this position may be filled at any of the advertised levels listed below, we anticipate hiring at the Program Specialist I level with a salary between $21.00 - $23.00.

Key Responsibilities
  • Provides guidance, monitoring, and technical support to ensure that Utah State AmeriCorps programs meet federal funding agency guidance, regulatory and legislative requirements.
  • Perform specialized administrative duties required to support the specific program area; in consultation with program manager, making judgments based on state and federal guidelines.
  • Respond to and initiate inquiries, answer questions, and independently resolve problems whenever feasible; communicate Commission policy and procedures to program organizations and service communities.
  • Coordinate training plans and schedules, design, development and delivery of training presentations
  • Review pre-contract documents provided by programs and prepare draft contracts in coordination with the program manager.
  • Perform risk assessments, desk reviews, and site monitoring visits as required by policy.
  • Review, troubleshoot, and process requests for reimbursement from sub-grantees.
  • Compose and/or prepare correspondence, memoranda, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools.
  • Maintain a tracking/monitoring system to meet federal grant compliance requirements.
  • Complete research on best practices; collect data, analyze and develop reports.
  • Review and maintain statistical information on program performance; supports ongoing AmeriCorps evaluation and system improvement processes.
  • Market and communicate AmeriCorps programs and UServeUtah initiatives to the public.
  • Support event planning and make logistical arrangements as needed for program meetings and larger events.
  • Cultivate relationships with program staff, build rapport, and maintain high levels of communication.
  • Perform other duties as required to support the mission and function of the agency.
Qualifications
Minimum Qualifications
  • A combination of education and/or direct experience that enables the incumbent to effectively complete the essential duties.
  • Proficiency in planning, coordination and delivery of training.
  • Experience reviewing, interpreting, and processing grant related reimbursement requests and progress reports.
  • Experience in interpreting and applying policies, grant requirements, technical directives, state or federal standards and regulations, and implementing compliance processes/procedures.
  • Strong organizational, analytical, interpersonal, and oral/writing communication skills required.
  • Ability to exercise sound judgment, take responsibility for meeting deadlines, and be a skilled problem solver.
  • Ability to initiate projects and work independently with minimal supervision.
  • Excellent written and verbal communication skills.
  • Proficiency with computer programs such as Microsoft Office (Word, Excel, and PowerPoint) and Google Suite (Gmail, Drive, Docs, Forms, Sheets, and Slides).
  • Advanced skills with spreadsheets such as Excel and Google Sheets.
Job Series

The selected candidate for this position may be brought in as a Program Specialist I with a salary range of $20.87 - $35.85 per hour or as a Program Specialist II with a salary range of $25.22 - $37.86.
