We’re searching for an Ambulatory Services Representative II for our Outpatient Cy-Fair Therapy clinic, someone committed to providing excellent customer service as the first contact for patients, providers, and staff accessing ambulatory clinics, virtual or non-virtual. The role may include orienting patients to the virtual visit process to ensure success.

All successful candidates will be required to undergo respiratory fit testing in compliance with occupational health and safety standards, as part of our commitment to a safe and healthy workplace.

Qualifications:

• H.S. Diploma or GED required
• At least 2 years of experience in customer service or clerical/medical office/business environment, preferably in healthcare

Job Duties & Responsibilities:

• Orient patients to the virtual visit process and ensure all technology is set up for successful visits.
• Provide and ensure completion of necessary patient forms for clinic visits.
• Communicate with patients, staff, and providers regarding patient arrivals, delays, and clinic processes.
• Notify clinic staff and providers of any changes or discrepancies in scheduled appointments.
• Refer patients with inadequate funding to the financial counselor, with no reported complaints.
• Update appointment statuses daily to reflect arrivals, cancellations, no-shows, or rescheduling.
• Maintain organized files of current referrals, communicate missed appointments to PCP, and dispose of referrals after one month.
• Review new referrals with the provider of the day, discuss appointment status, and coordinate scheduling.
• Assist licensed staff with inpatient admission processes as needed, including calls escort and paperwork.
• Perform closing procedures such as reconciling fee receipts, deposits, petty cash, credit card balances, and batch reports.
• Handle charge entry, billing, reconciliation, and customer service communications.
• Manage flow and room assignments.
