Alumni Relations Coordinator - Part-Time

About June Shelton School June Shelton School & Evaluation Center is the world’s largest independent school for bright children with learning differences. Founded in 1976, Shelton is dedicated to serving and empowering students who learn differently. The school includes a speech and language therapy program, an evaluation center, and a teacher‑training program. Shelton collaborates with major medical institutions in Dallas such as Children’s Medical Center and UT Southwestern Medical Center. The co‑educational, non‑sectarian school serves approximately 900 students in grades EC‑12 and is accredited by the Independent Schools Association of the Southwest (ISAS).

Position Overview: Responsible for managing and supporting Sheltons alumni relations program to secure lifelong commitment and support for Sheltons mission. Part‑Time: 20‑25 hours per week.

Qualifications & Skills
  • Proven frontline fundraising abilities and results, strong organizational skills, and ability to build lasting relationships with donors and alumni.
  • Excellent computer skills; experience with fundraising software, Microsoft Office Suite, Wealth Engine, and Finalsite is desired.
  • Strong interpersonal, organizational, written and verbal communication skills. Ability to meet deadlines; attention to detail; flexible and reliable.
  • Professional fundraising experience in Development, Alumni Relations, Marketing, or Volunteer management preferred.
  • Ability to manage sensitive information, maintain strict confidentiality, and demonstrate discretion and good judgment.
  • Diplomatic and tactful, warm, friendly, positive attitude.
Essential Functions
  • Provide support and ongoing management of a comprehensive alumni relations program.
  • Work with the Development Office to increase alumni involvement and giving.
  • Collaborate closely with the Chief Advancement Officer and Development Officer to support Sheltons fundraising goals.
  • Coordinate alumni fundraising strategies with the Annual Fund, Capital Campaign, and Stampede.
  • Involve alumni in year‑long activities, including volunteer opportunities, Homecoming, and class reunions.
  • Assist alumni in discovering and supporting memorial, recognition, and other named giving opportunities.
  • Serve as the primary source for alumni talent and resources for students, faculty, and staff.
  • Provide a primary contact for alumni and alumni families to facilitate campus visits and tours.
  • Secure venues, negotiate contracts, manage budgets, timelines, menus, speakers, invitations, and coordinate with the Development Office.
  • In conjunction with the Director of Communications and Chief Advancement Officer, develop and maintain ongoing alumni communications, including website messaging, e‑newsletters, and social media.
  • Provide information and lists for the Annual Report and weekly e‑posts.
  • Collect and communicate meaningful alumni information (life events, achievements, birth/death announcements, class notes) to relevant constituencies.
  • Lead production of alumni‑related brochures, invitations, talking points, event emails, e‑newsletters, mailings, and other online and print materials.
  • Communicate with faculty about potential alumni resources for classroom interaction and special projects; identify potential alumni speakers for events.
  • Lead the Senior Class Gift campaign as directed by the Chief Advancement Officer.
  • Attend senior brunch to announce the Senior Class Gift and welcome new graduates as alumni.
  • Support seniors in developing community and relationships that foster lifelong commitment to Shelton as alumni; assist Upper School Administration and College/Career counselor with senior programs and events.
  • Manage and coordinate care packages with Upper School and College Counseling Office and mailings for young alumni while engaging young alumni parents and families.
Database/Administrative
  • Maintain comprehensive and accurate records of alumni relations activities in the development database (Raisers Edge) including contact information, employment details, births, marriages, deaths, events, and participation.
  • Collaborate with the marketing and communications team to update the alumni website.
  • Manage collection, data entry, maintenance, and integrity of all alumni‑related data for inclusion in the development database.
  • Ensure accurate and up‑to‑date alumni data for recognition in online and print materials, including alumni gifts and pledges to all funds and campaigns.
  • Assist with internal and external reports and documents related to alumni, students, and development as requested.
  • Maintain school archives, including documents, yearbooks, memorabilia, pictures, videos, and upload digital yearbooks.
  • Track and evaluate the success of alumni engagement efforts through metrics such as event attendance, participation rates, and alumni feedback.
Strategic Support
  • Assist the Development Office with special projects, events, prospect and donor research, and other assignments as directed by the Chief Advancement Officer or Executive Director.
  • Develop and maintain collaborative relationships across school divisions to further engage the alumni community.
  • Stay current on the latest Development and alumni relations industry trends and best practices through professional development and networking with alumni relations professionals at peer institutions.
