The Allied Health Supervisor Associate for Pediatric Medical Specialties reports to the Administrative Manager and partners Nursing supervisor and Medical Director regarding performance and management of staff within these Ambulatory care Units.
Essential Functions
Provide comprehensive staff orientation to assigned work areas. Ensureappropriate resources, training time, and ongoing development opportunities are provided. Deliver constructive,timelyfeedbackregardingperformance and professional growth.
Implement and manage staffing plans and schedules to meet operational and customer needs. Create andmaintainmonthly schedules, manage time?off requests, ensure adequate coverage, review time sheets, and provide staffing coverage as needed. Support hiring, discipline, and termination processes for assigned roles.
Ensure cash?handling and revenue charge capture activitiescomply withinstitutional guidelines while meeting accuracy and timeliness standards. Partner with internal stakeholders tooptimizerevenue cycle outcomes.
Coordinate dailyClericalstaffactivities to promote efficient clinical flow.
Proactivelyidentifyand resolve operational issues.
Collaborate closely with the Call Center Supervisor and ACU Manager to ensure coordinated workflows and standardized processes. Participate in and lead development and evaluation of operational procedures.
Participate in and lead, asappropriate, process improvement initiatives, change management activities, and evaluation preparation. Assess, develop, andmaintainongoing staff competencies.
Provide leadership in applying improvement principles and integrating Daily Management Systems (DMS) into day?to?day operations.
Manage ad?hoc provider template editing in collaboration with the template editor.
Serve as a role model and active member of the leadership team,demonstratingpositive, effective communication across the units.
Represent the ACU in departmental meetings and institutional initiatives including Revenue Cycle Forums and regulatory readiness activities.
Ensure staff and clinical environmentsremainJoint Commission?ready and compliant with all regulatory and accreditation standards.
Manage and resolve operational issues affecting providers within assigned Pediatric Medical Specialty areas.
Collaboration with Departments
Partner with Central Authorization teams to minimize care delays related to authorizations and fill last?minute cancellations.
Collaborate regularly with support service departments like central auth and the contact center to ensure operational and strategic goals are met.
Core Responsibilities
High School Diploma or an equivalent combination of education and experience is necessary. Some medical or clinical experience is necessary.
3 years of scheduling experience in health care with some prior supervisory experience and previous ambulatory care experience preferred.
Excellent verbal, written and interpersonal communication skills with a strong customer focus and an ability to interact with a wide variety of individuals in a professional manner.
Demonstrated ability to work independently and as a part of a collaborative group with a commitment to team building and support.
Demonstrated ability to prioritize, complete tasks in a timely manner, and work under pressure.
Expert computer skills, including the ability to demonstrate proficient use of Microsoft Word, Excel, and PowerPoint.
Excellent problem-solving and decision-making skills; strong analytical and critical thinking skills.
Ability to compose professional correspondence.
Ability to lead meetings in a professional and productive manner.
Ability to respond to patient concerns and feedback in a productive manner.
Excellent attendance record.
Ability to evaluate and make changes to processes/protocols, toward continuous quality improvement.
Demonstrated process improvement experience.
