Job summary

HDR is seeking an Administrative Specialist to support the Area Operations Manager and Alaska staff. The role is based in HDR's Anchorage, Alaska office and involves front desk coverage, visitor management, scheduling, expense reporting, and coordination of meetings and facilities.

The successful candidate will be organized, communicative, and adaptable, supporting internal teams such as Safety, Wellness, and Recognition, while contributing to employee experience initiatives.

Qualifications

  • High School diploma or equivalent.
  • 3 years of experience in administrative support.
  • Proficient with MS Office including Word and Outlook.
  • Excellent verbal and written communication skills.
  • Professional, organized, detail-oriented with ability to multitask in a fast-paced environment.
  • Knowledge of A/E industry is a plus.

Responsibilities

  • Staff the front entry desk and manage office visitors.
  • Handle routine phones, mail, and deliveries.
  • Schedule appointments and process expense reports for executives.

HDR is currently seeking an Administrative Specialist to support the Area Operations Manager, Leadership team, and an Alaska staff of approximately 150 employees.

Primary Responsibilities

The role is based in HDR's Anchorage, Alaska office and will report directly to the Alaska Area Operations Manager. Primary responsibilities include providing a variety of adminstrative functions including staffing the front entry desk; managing visitors to the office; routine phone calls, mail, and deliveries; scheduling appointments and processing expense reports for one or more executives; coordinating and managing meeting facilities and arrangements; composing and organizing materials for presentations or reports; addressing or routing information requests; managing vendor and building maintenance requests; inventory and management of office and kitchen supplies; managing and updating the internal SharePoint site; and other clerical or support duties.

This position requires an organized individual with strong communication skills and creativity. The position will support a variety of groups within the office and will interact with each employee as well as clients and other visitors, so a friendly and flexible attitude is a must. The successful candidate will work closely with the Area Operations Manager to advance initiatives related to the employee experience, will track internals budgets, and will support a variety of internal groups such as Safety, Wellness, and Recognition. The successful candidate will assist the Area Operations Manager in managing office actions items, calendar items, and task resolution.

The successful candidate should demonstrate experience with administrative support and the ability to meet deadlines. A professional, self-motivated, well-organized and detail-oriented individual with the flexibility and ability to prioritize and handle multiple tasks in an office environment is desired.
