Job summary

Area Agency on Aging of Western Arkansas, Inc. in Fort Smith seeks a compassionate Aide Operations & Training Coordinator to oversee scheduling and training for Personal Care Aides, Home Health Aides, and CNAs.

You will coordinate shifts, train new staff, and ensure care plans are followed with strong teamwork. Qualifications include a high school diploma or equivalent, HHA training or Arkansas CNA, EMR experience (Authenticare, MatrixCare), and a valid driver’s license.

Qualifications

  • High school diploma or equivalent required.
  • 75-hour HHA training certificate or Arkansas CNA certificate required.
  • Experience with Authenticare and MatrixCare EMR preferred.
  • Demonstrable scheduling experience and strong communication.
  • Valid driver’s license and reliable transportation.
  • Background checks and drug screening clearance.
  • TB health card and CPR/First Aid certification or ability to obtain within 60 days.

Responsibilities

  • Create and maintain accurate staff schedules in EMR systems.
  • Coordinate rapid response coverage for patient needs and call-outs.
  • Develop and deliver PCA/HHA/CNA orientation and ongoing training.
  • Serve as primary contact between patients, families, and staff.

Position Summary:

We are seeking a compassionate and dedicated Aide Operations & Training Coordinator to oversee scheduling and training for all Personal Care Aides, Home Health Aides, and Certified Nursing Assistants.

Key Responsibilities:
  • Scheduling: Develop, create, and maintain accurate schedules within software such as Authenticare and MatrixCare EMR systems to meet both patient and staffing requirements. Assist with monitoring aide hours, commute time, and training time.
  • Rapid Response: Coordinate covering shifts due to employee absence or call-out, including providing services to patients when no aide is available to ensure consistent coverage and rapid response to call-outs.
  • Employee Training: Develop and implement orientation and training for all new PCA/HHA/CNAs, including, but not limited to, proper use of applications required and skill expectations for each role. Responsible for monitoring aide performance via routine aide check-ins, field visits, and performance evaluations to ensure care plans are followed. Assists with scheduling and preparing topics for Aide In-Service trainings throughout the calendar year.
  • Communication: Serve as the primary point of contact between patients and families, responding to service concerns, inquiries, and feedback in a prompt and professional manner.
  • Interdepartmental Coordination: Collaborate with leadership across multiple programs to ensure consistent coverage is provided to all program patients.
  • Reporting: Report privacy violations to Nursing Supervisor and Compliance Officer.
  • Professional Conduct: Maintain a positive, professional attitude and project a caring image. Wear company-issued ID at all times while on duty.
  • Other Duties: Perform additional duties as assigned to support departmental operations and organizational objectives.

Requirements
  • Minimum of High School Diploma or equivalent required.
  • Either minimum 75-hour Home Health Aide (HHA) training certificate OR valid Certified Nursing Assistance certificate issued from the State of Arkansas is required.
  • Experience with Authenticare and MatrixCare EMR or similar systems strongly preferred.
  • Demonstrable experience in scheduling employees.
  • Must possess a valid driver’s license.
  • Reliable transportation and proof of state required vehicle insurance.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills.
  • Proficient computer skills, including MS Word and Excel.
  • Ability to interact and communicate with all levels of employees throughout the organization.
  • Current negative TB skin test or state health card.
  • Current certification in CPR/First Aid or ability to become certified within 60 days of hire.
  • Must pass required background checks, maltreatment checks, and drug screening
