Job summary

OpenAI, Inc. is seeking an entry-level Procurement Coordinator in San Francisco to support day-to-day purchasing and logistics for the Robotics organization.

You will follow up on orders, coordinate shipments, work with suppliers and 3PLs, and keep records organized from request to delivery. You’ll learn procurement, logistics, and hardware operations while adopting AI tools to automate repetitive tasks and improve visibility.

Qualifications

• Entry-level role; no minimum years of procurement experience required.
• Interest in procurement, logistics, or hardware operations.
• Willingness to learn quickly and ask questions; follow through on tasks.

Responsibilities

• Follow up on purchase requests and PO issuance; confirm orders with suppliers.
• Track open orders from approval to delivery; monitor lead times and overdue items.
• Coordinate domestic and international logistics: couriers, pickups, shipments; resolve shipping exceptions.
• Prepare and check commercial invoices, packing lists, and shipping docs; liaise with suppliers, customs brokers, and internal teams.
• Manage day-to-day coordination with 3PLs: receiving, storage, outbound shipments; resolve discrepancies.
• Maintain accurate purchasing and logistics records; provide status updates and resolve issues.
• Use AI, spreadsheets, and workflow automation to streamline tracking, reminders, and reporting; ensure accuracy.
• Support broader supply chain team as priorities shift; escalate risks with clear context and next steps.
