Safe Harbor Wills and Trusts Camillus, NY is seeking an Operations Manager to build systems, streamline workflows, and drive AI-enabled efficiency across estate planning practice areas. You will own the customer journey, establish SOPs, and scale the firm with structured operations.

You will design and deploy automated workflows using Clio, DecisionVault, ElderDocs, and integration platforms while maintaining quality, security, and attorney review standards.

Competenze

• Experience in estate planning, Medicaid planning, and probate & trust administration.
• Ability to design, implement, and oversee tiered drafting and production models while maintaining quality control.
• Proven track record of building, documenting, and enforcing Standard Operating Procedures (SOPs).
• Strong skills in integrating practice management, intake, drafting, communication, and AI tools.
• Experience with automation platforms such as Zapier, Make (Integromat), or Microsoft Power Automate.
• Ability to maintain role clarity and accountability across teams, ensuring consistent client experiences.
• Proven ability to design and deploy AI-assisted operational tools and automate workflows within systems like Clio and DecisionVault.

• Customer Journey & Workflow Ownership: Own and maintain a unified Customer Journey Map (current and future state) and ensure workflows align with a consistent client experience across practice areas.
• Operations, Accountability & KPIs: Build, document, and enforce SOPs; monitor KPIs tied to file velocity, error rates, and time saved; run weekly check-ins and monthly KPI reviews.
• AI-Enabled Systems & Automation: Design and deploy AI-assisted tools (call summaries, workflow reviews, CARE follow-ups) and automate workflows.
• Workflow Automation & Systems Integration: Design, implement, and maintain reliable automations connecting core systems; integrate practice management, intake, drafting, communication, and AI tools; use Zapier, Make, Power Automate; ensure secure, production-ready governance.
