The role acts as the liaison among agents, administrative staff, and carrier representatives to ensure contracts are completed accurately, submitted on time, and maintained throughout the agent lifecycle.

Qualifications

  • High school diploma or equivalent required.
  • Preferred: experience in insurance contracting, licensing, administration, customer service, or related field.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Experience working with multiple systems and databases simultaneously.
  • Strong attention to detail and accuracy.

Responsibilities

  • Process new agent contracting applications with multiple life insurance carriers.
  • Review applications for accuracy and completeness before submission.
  • Monitor contract submissions and follow up with carriers for timely processing.
  • Maintain accurate records of agent contracts, statuses, and carrier requirements.
  • Submit and process contract maintenance requests (name changes, banking info updates, level changes, hierarchy/upline changes, terminations, reinstatements, etc.).
  • Provide education on contracting requirements and carrier procedures; respond to inquiries.

Agent Licensing & Contracting Coordinator Position Summary

The Agent Licensing & Contracting Coordinator supports insurance agents through licensing, carrier appointments, and contracting processes with multiple life insurance carriers.

This role serves as a primary liaison between agents, administrative staff, and carrier representatives to ensure contracts are completed accurately, submitted timely, and maintained throughout the agent's lifecycle.

The ideal candidate is highly organized, customer-focused, adaptable, and thrives in a fast-paced environment while managing multiple priorities.

Essential Duties and Responsibilities
Agent Contracting & Maintenance
  • Process new agent contracting applications with multiple life insurance carriers.
  • Review applications for accuracy and completeness before submission.
  • Monitor contract submissions and follow up with carriers to ensure timely processing.
  • Maintain accurate records of agent contracts, statuses, and carrier requirements.
  • Submit and process contract maintenance requests, including:
    • Name changes
    • Banking information updates
    • Contract level changes
    • Hierarchy and upline changes
    • Terminations and reinstatements
    • Other carrier-specific updates as needed
Carrier Relations & Communication
  • Serve as a primary point of contact between agents and insurance carriers regarding contracting matters.
  • Build and maintain positive relationships with carrier representatives.
  • Research and resolve contracting issues, processing delays, commission-related updates, and missing documentation.
  • Communicate status updates and resolutions to agents and internal stakeholders promptly and professionally.
Agent & Administrative Support
  • Respond to agent inquiries regarding contracting requirements, status requests, and carrier policies.
  • Assist administrative staff with contracting-related questions and escalations.
  • Provide exceptional customer service while professionally handling challenging or emotionally heightened situations.
  • Educate agents on carrier requirements, contracting procedures, and necessary documentation.
Organization & Process Management
  • Maintain detailed and accurate records within internal databases and carrier systems.
  • Prioritize daily workloads and manage multiple contracting requests simultaneously.
  • Meet established turnaround times and service standards.
  • Identify opportunities to improve contracting processes and workflows.
  • Stay informed of carrier contracting guidelines, compliance requirements, and procedural updates.
Required Qualifications
  • High school diploma or equivalent required
  • Previous experience in insurance contracting, licensing, administration, customer service, or a related field preferred.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
  • Experience working with multiple systems and databases simultaneously.
  • Strong attention to detail and commitment to accuracy.
