Responsibilities

• Front-of-House & Scheduling Mastery: greet patients, manage daily provider schedules, ensure seamless handoffs.
• Retail & Conversion Driving: own aesthetic retail merchandising, track inventory, coach on product knowledge, drive conversions.
• Daily Workflow & Accountability: monitor appointments, follow up on unconfirmed bookings, manage inquiries, ensure responses.
• Data & Performance Tracking: track metrics like retention, no-shows, retail sales, and rebooking with leadership.
• Team Synergy: lead front desk during peak times and align the aesthetic team.

Role Summary

The Dermatology Center is seeking an ambitious and energetic Aesthetics Coordinator to elevate our front-of-house operations, patient flow, and aesthetic retail experience.

We are seeking an organized, metrics-driven professional to actively guide patients between medical treatments and advanced cosmetic services. You will eliminate bottlenecks, drive treatment and retail adherence, and collaborate closely with our clinical team to make cross-referrals effortless and natural for every patient who walks through our doors.

Core Responsibilities

• Front-of-House & Scheduling Mastery: Greet discerning patients, manage dynamic daily provider schedules, eliminate booking gaps, and ensure seamless patient handoffs between front desk, estheticians, and clinical providers.
• Retail & Conversion Driving: Own aesthetic retail merchandising, track product inventory, coach front-desk associates on product knowledge, and drive front-of-house retail conversions.
• Daily Workflow & Accountability: Monitor daily appointment capacity, follow up on unconfirmed or cancelled treatments, manage lead inquiries, and ensure no patient inquiry goes unanswered.
• Data & Performance Tracking: Track daily and weekly operational metrics—retention rates, no-show percentages, retail sales, and rebooking compliance—working directly with practice leadership to identify growth trends.
• Team Synergy & Operational Momentum: Serve as the energetic pulse of the front-of-house team. Lead by example at the reception desk during peak rushes, conduct quick daily huddles to review schedule goals, and proactively follow up with providers on pending treatment plans, unbooked consults, and client checkout notes to keep the entire aesthetic team aligned, motivated, and accountable.
