Job summary

GrayMatter Robotics, a well-capitalized Physical AI company, seeks a Project Coordinator for its Aerospace & Defense team onsite in Carson, CA. You will drive robot cell design through deployment, coordinating engineers and customers to keep programs on track.

Manage schedules, procurement, site logistics, and ITAR compliance, while preparing status reports and ensuring documentation is up to date. Travel to customer sites as needed and support handoffs to GMR teams.

Qualifications

• Bachelor’s degree in engineering, manufacturing operations, supply chain, or related field.
• Experience supporting robotics, automation, or capital equipment installations from design to commissioning.
• 2–4 years in project coordination, program support, or project management in manufacturing, aerospace, defense, or industrial automation.
• Proven ability to meet deadlines and track milestones with proactive risk flags.
• Proficient with ClickUp, MS Project, Smartsheet and strong Excel skills.
• Excellent written and verbal communication for engineers, executives, and customers.
• Self-starter, highly organized, detail-oriented, able to manage multiple workstreams.
• Willingness to travel to customer sites and work onsite in LA.

Responsibilities

• Maintain project schedule, milestones, and action log with Project Lead Engineer.
• Organize design reviews, capture decisions, follow up until closure.
• Track customer requirements, specs, change requests, and maintain revision control.
• Coordinate with mechanical, controls, software, and process engineers.
• Manage procurement tracking, supplier lead times, and delivery status.
• Plan shipping, receiving, site logistics, and export docs with compliance.
• Build installation plans and travel schedules for deployment team.
• Coordinate operator training and handoff to support teams.
• Prepare weekly status reports on schedule, budget, risks, and decisions.
• Track budgets, PO, invoicing milestones with Finance.
• Maintain risk and issue register; flag at-risk items early.
• Apply ITAR and customer information handling requirements.
