Job summary

H&H Continuous Improvement & Services is seeking an Aeromedical Administrative Specialist to join our team. You will accept, process, track, and complete medical case packages for waivers and duty determinations, ensuring accuracy and timeliness.

The role requires proficiency with Air Force and DoD medical systems, strong English communication, and the ability to work with service members, units, and healthcare providers to finalize packages efficiently.

Qualifications

  • Processing and managing physical exams and medical standards.
  • Proficiency with Air Force and DoD medical systems and websites (AIMWTS, PEPP, PHA, MICT, Moveit CIB, Salesforce/MyFSS).
  • Knowledge of medical standards for retention, flying classes, LOD determinations, and special operational duty for the USAF.
  • 1–2 years aeromedical administrative specialist experience.
  • Proficient with AMWG and MSD.
  • Capable of working independently with strong time-management.

Responsibilities

  • Accept, process, track, and complete medical case packages for waivers and duty determinations.
  • Update status from initial receipt to finalization and notification of members.
  • Serve as a liaison between service members and units.
  • Collaborate with units, military treatment facilities (MTF), and military and civilian healthcare providers to facilitate the completion of medical waiver packages.

This position is contingent upon contract award. Normal hours are 0800 to 1600 (EST) Monday through Friday excluding Federal Holidays. Core hours (must be present) are 0900 to 1500 (EST). Flex time is permitted to meet workload requirements.

H&H Continuous Improvement & Services is looking for Aeromedical Administrative Specialists to join our team to accept, process, track, and complete medical case packages for waivers and duty determinations. Core Requirements

Must demonstrate a high level of knowledge or rapidly master these requirements within 30 days of hiring:

  • Processing and managing physical exams and medical standards preferably with military or equivalent civilian experience.
  • Proficiency with Air Force and DoD medical systems and websites, including the Aeromedical Information Management Waiver Tracking System (AIMWTS), Physical Examination Processing Program (PEPP), Periodic Health Assessment (PHA) programs, Joint Longitudinal Viewer (view secure EMR data from internal and external sources), and Management Internal Control Toolset (MICT), Moveit CIB (file transfer protocol), Salesforce/MyFSS (human resource system), BOMC KX (internal digital medical service collaboration and knowledge management exchange platform).
  • Knowledge regarding medical standards for retention, flying classes, Line of Duty (LOD) determinations, and special operational duty for the USAF.
Other Requirements:
  • Minimum of 1–2 years of aeromedical administrative specialist experience preferably in an MTF.
  • Proficient in utilizing the Aeromedical Waiver Guide (AMWG) and the Medical Standards Directory (MSD).
  • Must possess demonstrated experience processing and managing physical exams and medical standards in military medical environments or through equivalent civilian aeromedical, occupational health, or disability evaluation system environments.Possess knowledge of anatomy, physiology, disorders of human body systems, and emergency medical care procedures.
  • Possess knowledge of medical terminology and International Classification of Diseases (ICD-10) coding and possess the ability to use medical terminology accurately when documenting cases.
  • Must be capable of working independently with strong time-management and prioritization skills.
  • Must be proficient in reading, writing, speaking, and understanding the English language to effectively communicate applicable technical subject matter to management, providers, and service members.
  • Possess the ability to translate and communicate complex medical/administrative instructions to service members at the member’s comprehension level.
  • Must be highly proficient with Adobe and the Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Must be highly proficient at computer use and typing.
  • Must be able to collaborate with units, military treatment facilities (MTF), and military and civilian healthcare providers to facilitate the completion of medical waiver packages as required.
  • Update status of submitted case packages from receipt of initial package to finalization and notification of member.
  • Serve as a liaison between service members and units when required.
