Job summary

Benedictine University in Lisle, IL, seeks an Advancement Services Coordinator to manage gift entry, processing, and donor data in Raiser's Edge NXT. You will produce daily reports, prepare receipts, and support payroll deduction and matching gift processes.

You will collaborate with Advancement, Finance, and other departments to ensure accurate designation and month-end closes, while maintaining confidentiality and high service standards.

Qualifications

  • Bachelor degree required in a relevant field.
  • Experience with data entry/gift processing.
  • Proficient with MS Office and Raiser's Edge.
  • Strong attention to detail and confidentiality.

Responsibilities

  • Receive, analyze, and process gifts in cash, checks, cards, online gifts, and more; coordinate with teams to designate gifts.
  • Export data from eTeamSponsor/Authorize.net to generate online gift batches and resolve disputes.
  • Schedule recurring gifts and ensure timely annual acknowledgements.
  • Prepare and issue combined Gift Receipts and Thank You letters; update donor records.
  • Maintain a system of matching gift companies and donor-advised funds; liaise with corporations.
  • Create new constituent records and perform data integrity updates in Raiser's Edge.

Job Title: Advancement Services Coordinator

Department: Advancement Services

Reports to: Director, Advancement Services

Rate: $22.36 hourly

Location: Lisle Campus

Position Summary

Responsible for the entry and accuracy of allgifts and pledges into the Raiser’s Edge NXT system, processing matching gifts and payroll deductions and generatingdaily batch reports. Enter and maintainalumni and donors’ data. Run anddistribute basic reports. Process andsend out donor thank you letters and receipts.

  • 1.Receive, analyze, and process gifts of cash, checks, credit cards, online gifts, bankdrafts, in‑kind, pledges, stocks, matching gifts, and payroll deductions.Research any missing information and communicate with Advancement colleagues,other departments, and donors to determine the proper way to deposit anddesignate gifts as needed. Set up newdesignation numbers and appeal codes in Raisers Edge and coordinate with theFinance Department to allocate to the proper budget account. Generate and process Gift Check Deposits tothe WinTrust Bank Gift Account and run Deposit Detail Reports. Prepare daily batch reports. Create and upload e-files of all posted giftdocumentation and daily batch reports. Perform a routine reconciliation check with Raisers Edge and Authorize.netonline payment gateways. Supportsupervisor in reconciling and exporting RaisersEdge gift data for the Finance Dept. to post to budget accounts for month-endclose.
  • 2. Export and combine data from eTeamSponsor and Authorize.net to generate, reconcile, and process online gift batchesfor Athletic campaigns. Communicate withDonor, Athletic Dept. and Finance Dept. to resolve eTeamSponsor credit card disputes.
  • 3. Schedule and maintain a system of recurringgifts ensuring timely annual acknowledgements.
  • 4. Prepareand issue combined Gift Receipts and Thank You letters. Update donor records accordingly.
  • 5. Maintaina system of matching gift companies as well as donor‑advised fundorganizations. Communicate with coordinators at corporations as needed.
  • 6. Create new constituent records, research, and updatedata in Raiser’s Edge. Work on data integrity projects.
Other Functions
  • 1. Assist in defining and documenting policy and procedures
  • 2. Support interpretation of IRS rules and regulations for charitable giving
  • 3. Utilize available research tools to conduct basic research and prospect identification searches as required.
  • 4. Assist in departmental projects and events when applicable.
  • 5. Other duties as assigned by the Director.
  • 6. Create team meeting agendas and take team meetingnotes.
Required Qualifications

Education: Bachelor Degree Required

Experience: Experience with data entry/gift processoing

Specific Skills: Strong customer service skills. Must be highlydetailed oriented, well organized, accurate, and able to maintain confidentialinformation.

Specific Knowledge, Licenses, Certifications: Must already have workingknowledge of entering and acknowledging gifts, Microsoft Office Word, Excel,and Outlook.

Physical Requirements: While performing the duties of thisjob, the employee is regularly required to talk or hear. The employeefrequently is required to stand; walk; use hands to touch, handle or feel; andreach with hands and arms. Thisposition requires the ability to occasionally lift office products andsupplies, up to 20 pounds. Use ofcomputer screen, phone and customer service. May require bending, or sitting for longperiods of time. Specific vision abilities required by this job include closevision, distance vision, color vision, peripheral vision, depth perception andability to adjust focus.
