Job summary

Qualifications

  • Experience in nonprofit fundraising, donor relations or accounting preferred.
  • Familiarity with fund accounting and donor-restricted funds.
  • Proficiency with MS Office (Excel, Word, Outlook).

Responsibilities

  • Manage processing and reconciliation of gifts, pledges, grants and restricted funds.
  • Enter, track, report and reconcile gift activity with the general ledger.
  • Prepare financial reports, fund statements and supporting schedules.
  • Produce fundraising progress reports, data analysis and dashboards.
  • Process vendor payments, reimbursements, contracts with proper controls.
  • Assist with audits, tax reporting and compliance as needed.
  • Manage gift acknowledgments and donor stewardship communications.
  • Collaborate with Advancement, Finance and program teams on reporting and issue resolution.
  • Develop and maintain SOPs and drive process improvements.

Job Summary: The Advancement Operations Specialist supports the fiscal integrity and operational efficiency of Star of Hope by coordinating gift processing, account reconciliation, financial reporting, and related administrative functions. This position ensures the accurate recording of gifts, pledges, grants, restricted funds, and donor contributions while maintaining compliance with donor intent, internal controls, and accounting standards. A central responsibility of this role is the expert use of Raiser’s Edge NXT for gift entry, reporting, reconciliation, and data integrity. The specialist works closely with the Director of Advancement Operations to provide timely and accurate financial information that supports fundraising, stewardship, and organizational effectiveness.

Job Responsibilities:

  • Manage the processing and reconciliation of gifts, pledges, grants, and restricted funds to ensure accuracy and compliance with donor intent.
  • Use Raiser’s Edge NXT to enter, track, report, and reconcile gift activity with financial systems and general ledger accounts.
  • Prepare financial reports, fund statements, and supporting schedules for internal use, donor stewardship, and leadership review.
  • Prepare fundraising progress reports, data analysis, and dashboards to inform strategy and track campaign performance.
  • Process vendor payments, reimbursements, contracts, and other Advancement expenditures with proper documentation and internal controls.
  • Assist with audits, tax reporting, and compliance requirements as needed.
  • Manage gift acknowledgments, donor stewardship communications, and related follow-up to support strong donor relationships.
  • Collaborate with Advancement, Finance, and program teams to ensure accurate gift transmittals, reporting, issue resolution, and responsive support for donors and stakeholders.
  • Support the development and maintenance of standard operating procedures and process improvements for advancement operations.
  • Maintain data integrity within Raiser’s Edge NXT and ensure adherence to established policies and procedures.

Other Job Responsibilities:

  • Participate in Ministry and prayer activities, as appropriate.
  • Other duties as assigned in support of Advancement and organizational goals.

Qualifications:

Education, Skills & Experience: Bachelor’s degree in Accounting, Finance, Business Administration, Nonprofit Management, or a related field preferred. Experience with Raiser’s Edge or Raiser’s Edge NXT, particularly in gift processing, reporting, and reconciliation. Experience in nonprofit fundraising, advancement services, donor relations, or accounting preferred. Knowledge of fund accounting, donor-restricted funds, and gift administration preferred. Experience reconciling data between CRM and accounting systems preferred. Familiarity with audit support and financial compliance practices. Proficiency with Microsoft Office applications, especially Excel, Word, and Outlook. Valid Texas Driver’s License, with acceptable driving record and current liability insurance.

Strong organizational skills and exceptional attention to detail. Ability to manage multiple priorities and meet deadlines with accuracy. Strong interpersonal and communication skills with diverse stakeholders, including formal letter writing. Good judgement in dealing with confidential matters. Ability to work well independently as well as with others. Professional appearance and behavior. Ability to problem-solve, work well without supervision, and multi-task.

Be able to work respectfully, professionally and in a Christ-like manner with everyone, able to maintain required client/staff boundaries and possess a willingness to serve the Lord in a ministry that deals with homeless men, women and children.

Equipment Used: General Office Supplies, Computer Equipment -, and Copier/Fax/Printer, Postage Meter, Folder Inserted, Cleaning Supplies, Software: Raiser’s Edge NXT, Microsoft Word, Excel, PowerPoint, Outlook, Access, and Sphere (Inventory supply).

Work Environment: Normal business hours, office environment, occasional weekend or evening events. Will occasionally be required to meet in other program facilities. Work schedule may be subject to change to meet the business needs of the mission. Exposure to infectious diseases, poor hygiene, drug usage, verbal and physical abuse and other emergency situations relative to the homeless population is normal. Business casual in accordance with the Star of Hope dress code.

Relations with Others: Constant face-to-face discussion with immediate peers, immediate manager and use of electronic mail. Frequent collaboration with Advancement, Finance, and program teams. Occasional contact with managers in other departments, clients, volunteers, other agencies and donors. Occasional public speaking and written letters and memos. Constant telephone conversation.

Physical Requirements: Sedentary work with lifting up to 20 pounds. Occasional reaching, standing, walking, pushing, pulling, stooping, crouching, lifting, handling, and driving. Constant use of fingers, talking, hearing, repetitive motions, color and close vision at 20 inches or less. Frequent use of distance vision of 20 feet or more, field of vision, depth perception and night vision.
