Job description

The Admissions Representative is responsible for recruiting and enrolling qualified students in accordance with Valley College policies, accrediting-body standards, and all applicable federal and state laws and regulations. This role supports prospective students throughout the admissions process while upholding the highest standards of integrity, accuracy, and compliance. Because this position handles sensitive student and institutional information, strict adherence to all confidentiality and privacy requirements is expected. Success in this position requires strong interpersonal and communication skills, sound judgment, and a commitment to providing clear, ethical guidance to prospective students.

RESPONSIBILITIES & DUTIES
Communication & Applicant Engagement
  • Consistently respond to inquiries in a timely, professional, and service-oriented manner.
  • Follow Valley College communication protocols when engaging with applicants throughout the admissions process, including requested student follow-up.
  • Use Valley College's approved phone scripts and admissions presentations to provide accurate information about educational programs.
Lead Management & Admissions Operations
  • Coordinate lead handling and prospect appointments with the Director of First Impressions or the designated campus staff member.
  • Maintain accurate and up-to-date records within the student inquiry management system.
Student Success & Collaboration
  • Collaborate with faculty, placement, and administrative personnel to support student retention and contribute to strong placement outcomes.
Community Outreach & Recruitment
  • Actively participate in community outreach efforts, including high school visits and job and college fairs.
Compliance & Professional Standards
  • Adhere to the Admissions Personnel Code of Conduct and all Valley College policies and procedures.
Professional Development
  • Develop a professional development (self-development and professional growth) plan.
  • Provide support documentation that demonstrates the professional development plan has been executed.
  • Attend departmental meetings and participate in professional development and compliance training activities.

Supervisory Responsibility

This position does not have any direct supervisory responsibilities and collaborates with the Admissions team to support student success.

Work Environment & Physical Requirements

This position operates within a professional higher education environment, which may include office, classroom, laboratory, clinical, remote, and other work settings as required by the position. The role involves regular interaction and engagement with members of the College community. Employees routinely use computers, real-time communication systems, and other tools, technology, and equipment necessary to perform the responsibilities of the position. The employee must be able to:

  • Remain stationary or move about the work environment for extended periods while performing job duties.
  • Maintain sufficient visual acuity to read, review, and prepare documents.
  • Perform physical tasks associated with the responsibilities of the position, which may include moving, positioning, lifting and carrying, reaching, bending, stooping, or handling materials and equipment.
Travel

This position may require occasional travel to other campus locations, off-site work-related locations (including clinical sites), professional development events, and campus events. Employees assigned to the Cleveland Campus or Fairlawn School of Nursing will regularly travel between both locations in the performance of their duties.

Position Type/Expected Hours of Work

This is a full-time, non-exempt, hourly position. This is an on-site position. The position is scheduled for 40 hours per week. Standard business hours are Monday, Tuesday, Wednesday and Thursdays, 8:00 a.m. to 5 p.m. and Friday 8:00 a.m. to 3:00 p.m. Occasional evening and weekend work may be required as job duties demand.

Requirements: Education, Licensing, Prior Work Experience & Other
  • Education: A college credential (Bachelor-level) is preferred.
  • Licensure: Licensure is not required.
  • State permit is required after hire.
  • Ohio Representatives: The Ohio State Board of Career Colleges and Schools requires Admissions Representatives to complete the online New Agent Admissions Training Course. Annual training is required for permit renewal.
  • West Virginia Representatives: The West Virginia Council for Community and Technical College Education (WVCTCS) requires new Admissions Representatives to submit a registration form and obtain an Individual Solicitor Permit. This permit must be renewed annually.
  • Prior Work Experience: Previous sales experience is preferred. Experience in vocational school or intangible sales is helpful.
Supervisory Control

Direct Report: Campus Management.

Oversight: Department Management.

May receive collaborative guidance and direction from department management and other Valley College management team members to support institutional goals.
