Job summary

BASIS Independent Manhattan is seeking an Admissions Manager to support the admissions team across two NYC campuses. The role involves end-to-end process support, event coordination, and delivering excellent customer service to prospective families.

The position requires flexible hours including evenings/weekends, with travel between the Upper West Side and Chelsea campuses as needed. A strong administrative background and experience with admissions systems are preferred.

Qualifications

Responsibilities

  • Support the Admissions team with end-to-end processes from submission to decision.
  • Follow up with families post-registration and during information sessions.
  • Coordinate event logistics and materials for admissions events.
  • Provide excellent customer service and answer applicants' questions.
  • Handle inquiries and route them to appropriate team members as needed.
  • Prepare correspondence and reports for the management team.
  • Coordinate admissions assessments and proctoring as needed.
  • Process billing related to events and materials as required.
  • Collaborate with design team to submit materials to vendors and ensure timely delivery.
  • Maintain scheduling, organized materials, and delegated task progress.
  • Travel between Lower School (Upper West Side) and Upper School (Chelsea) as required.

What We're Looking For

As the Admissions Manager, youare responsible forsupporting the Admissions teamwith organizationand administrative detailfor the overalladmissionsadministrative process, making sure it runs smoothly. This in-person position supports two campuses and requires occasional evening and weekend hours.

Your Primary Responsibilities
  • Support the Associate Directors of Admissions with end-to-end admissions process for families, from application submission through final decision. This includes guiding families in completing application requirements,trackingand reviewing application materials, and following up on deadlines and outstanding items throughout the process.
  • Conduct comprehensive follow up on those who have registered for and attended Information Sessions, Campus Tours, or other Admissions events whilemaintaining a log of all activity.
  • Coordinate eventlogisticsby ordering refreshments, preparing all required materials, including forms and admissions folders, and managing eventsetupandbreakdownto ensure seamless event execution.
  • Ensure a positive experience for prospective parents and students by providing excellent customer service, including answering applicants’ questions throughout the application process.
  • Handle all inquiries within own capacity, direct inquiries outside capacity toappropriate teammembers.
  • Compose correspondence and reports asrequiredin support of management team.
  • Help coordinate and orchestrate admissions assessments for all grades; may berequiredto lead in-person, orlead or proctor virtual assessments.
  • Facilitate and process billing (marketing, supplies, events, etc.) as needed.
  • Work withdesignteam tosubmitmaterials to vendors for production and ensuretimelydelivery of those materials (printouts, signs, etc.).
  • General management of administrative detail, keeping projects on schedule,printingand organizing materials.
  • Update and pursue delegated tasks to ensure progress to deadlines.
  • Order supplies to ensure availability when needed, and open, handle, and dispersemail.
  • Work well with confidential material and ensure discreet handling of all business andcommunication.
  • Will dividetime throughout the week between our Lower School on the Upper West Side and our Upper School in Chelsea.

Minimum Qualifications:
  • Administrative experienceis a plus
  • Demonstrates technical skills and proficient in the use of Microsoft Suite and internet searches
  • Experience in customer service and managing databases for Customer Relationship Management (e.g.HubSpot) and applicant tracking systems (e.g.Ravenna) preferred
  • Travel : Must be able to travel between both our Lower School on the Upper West Side and Upper School in Chelsea as needed. Must be able to travel by air or motor vehicle torequiredtraining and development sessions as needed.
