Responsibilities

  • Notify emergency personnel or nursing staff of urgent cases.
  • Report infectious disease signs to nursing or clinical staff per infection control policies.
  • Verify and enter patient demographics, insurance info, and medical details.
  • Collect and process forms, signatures, and consent documents.
  • Prepare patient identification materials like wrist bands and records.
  • Explain hospital policies, admission procedures, and patient rights.
  • Collect, assemble, and forward admission documents to appropriate department.
  • Collect co-pays, deductibles, and other fees; issue receipts.
  • Schedule patient admissions and coordinate with departments.
  • Maintain confidentiality and HIPAA compliance.
  • Answer phones and direct calls to departments.
  • Maintain a clean workstation and sanitize as required.
  • Monitor and replenish office and patient admission supplies.
  • Report unsafe conditions or hazards to supervisor.
  • Assist with training new admission clerks.
  • Attend workshops as approved.
  • Report disturbances to supervisors and security per safety protocols.
  • Notify Admission Supervisor of issues affecting patient flow or service quality.

SCHEDULE: AS NEEDED TO COVER FULL TIME STAFF'S TIME OFF/CALL INS. CAN BE SCHEDULED IN ADVANCE OR CAN BE A LAST MINUTE NEED. WORK TIME IS NOT GUARANTEED.

JOB SUMMARY:

The Hospital Admissions Clerk is responsible for registering patients, collecting and verifying personal and insurance information, and ensuring accurate and efficient patient registration and admission into the hospital’s electronic health record system. This role serves as a key point of contact for patients, visitors, and medical staff, helping to ensure smooth administrative and clerical operations in the admissions department.

ESSENTIAL JOB FUNCTIONS:
  1. Greet and assist patients and visitors in a courteous and professional manner
  2. Register new patients and update existing patient records in the hospital’s electronic health record (EHR) system
  3. Assist with interviewing patients or their representatives to obtain required personal, medical and insurance information
  4. Promptly notify emergency personnel or nursing staff of emergent or urgent patient cases requiring immediate attention
  5. Report patients exhibiting signs or symptoms of infectious or communicable diseases to nursing or clinical staff in accordance with hospital infection control policies
  6. Verify and enter patient demographics, insurance information, and medical details accurately
  7. Collect and process required forms, signatures, and consent documents
  8. Prepare patient identification materials such as wrist bands, identification labels, and records
  9. Explain hospital policies, admission procedures, and patient rights
  10. Collect, assemble, and ensure accuracy of patient admission documents and forward to appropriate department
  11. Collect co-payments, deductibles, and other required fees; issue receipts as needed
  12. Schedule patient admissions and coordinate with nursing, emergency, and clinical departments when applicable
  13. Maintain confidentiality and comply with HIPAA and hospital privacy standards
  14. Answer phones, respond to inquiries, and direct calls to appropriate departments and personnel.
  15. Maintain a clean and organized workstation; sanitize equipment and surfaces as required
  16. Monitor and replenish office and patient admission supplies, as needed
  17. Report any unsafe conditions, equipment malfunctions, or workplace hazards to the appropriate supervisor and department
  18. Assist with training new admission clerks as directed
  19. Attend and participate in workshops, seminars, etc., as approved
  20. Promptly report disturbances, disruptive behavior, or violent situations to the Emergency Department Supervisor, Admission Supervisor, and Security, when applicable, following hospital safety protocols
  21. Notify the Admission Supervisor of any issues, concerns, unusual occurrences, or delays affecting patient flow, safety, or service quality
  22. All other duties as assigned
QUALIFICATIONS:
Education and Training:

High school diploma or equivalent is preferred

Work Experience: Previous experience in a hospital, medical office, or customer service setting is preferred.

Physical Requirements:
  • Prolonged periods of remaining in a stationary position at a desk and working on a computer
  • Frequent use of hands, wrists, and fingers to operate a computer keyboard, mouse, telephone, and other office equipment
  • Occasionally move about the registration area and facility campus to access file cabinets, office machinery, patient care areas, other departments, etc.
  • Frequently position self, such as bending, stooping, reaching, kneeling, or twisting to maintain files, retrieve files, access/move office supplies/equipment, assist patients, etc.
  • Ability to communicate information accurately so others will understand
  • Ability to hear and respond to patients, telephone calls, alarms, and normal office conversations
  • Visual acuity sufficient to read printed documents, computer screens, and handwritten materials
  • Frequently move, lift, push, or pull boxes, equipment, files, wheel chairs, carts, etc. weighing up to 25 pounds across the office for various needs.
  • Ability to push wheelchairs and assist patients in a safe and controlled manner
