Headstart Hatching in Willmar, MN is seeking an Administrator & Data Coordinator to maintain hatchery production, inventory, and performance data while supporting daily operations.

This role manages data entry, reporting, billing, inventory tracking, and customer communications to ensure efficient operations, informed decisions, and compliance with biosecurity and safety requirements. A Sign On Bonus of $4000 is offered.

Qualifications

Headstart Hatching is seeking a friendly, diligent and dependable individual to join our team as Administrator & Data Coordinator

This position is offering a Sign On Bonus of $4000!

The Hatchery Administrator & Data Coordinator is responsible for maintaining accurate production, inventory, and hatchery data while supporting daily hatchery operations. This role manages data entry, reporting, billing, inventory tracking, and customer communications to ensure efficient operations and informed business decisions.

Key Responsibilities

• Enter and maintain hatchery production, inventory, and performance data in the MTech system.
• Generate and distribute reports to customers and partners.
• Monitor data accuracy and resolve reporting discrepancies.
• Supervise egg room operations, including inventory management and cooler organization.
• Conduct weekly egg inventories and monthly egg/poult audits.
• Create bills of lading, invoices, and customer billing documents.
• Prepare production projections based on fertility and hatch data.
• Track operational costs and prepare reports for management.
• Support hatchery departments as needed.
• Maintain compliance with biosecurity, animal welfare, safety, and regulatory requirements.

Qualifications

• Proficiency in Microsoft Excel (filters, formulas, averages, and basic reporting).
• Strong math skills, including percentages and data analysis.
• Experience with data entry and maintaining accurate records.
• Effective written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to work independently, prioritize tasks, and meet deadlines.
• Bilingual English/Spanish preferred.

Experience & Education

• Previous administrative experience required.
• Hatchery or agricultural experience preferred.
• Associate degree in Accounting, Business, or related field preferred.

Schedule

• Monday-Friday, 8:00 AM-5:00 PM.
• Occasional weekends and holidays as needed.

Requirements

• Valid driver's license and acceptable motor vehicle record.
