We are seeking a highly experienced and resourceful administrative professional to support a Fortune 100 company in a dynamic, fast-paced job site environment. This is a 4-month contract with the opportunity for extension.
This role goes beyond traditional office support, serving as the operational backbone of an onsite team by managing daily office functions, coordinating logistics, and ensuring the site runs smoothly and efficiently. With a growing onsite presence across multiple trailers in a remote location, this individual will play a critical role in maintaining team morale, productivity, and organization. A wide degree of creativity, initiative, and independent judgment is expected, and the ability to lead and direct the work of others is a key component of success in this position.
Responsibilities:
- Manage daily office operations across onsite trailers, including supply inventory management, restocking, and common-area upkeep
- Coordinate meal planning and onsite food service for site teams to support morale and productivity in a remote work environment
- Oversee office moves, seating assignments, and space planning as the onsite team continues to grow
- Schedule appointments and maintain calendars for site managers and team leads
- Serve as a primary point of contact for callers and visitors, providing information and directing inquiries appropriately
- Compose memos, transcribe notes, and prepare professional correspondence and communications
- Research, develop, and deliver presentations for internal and external stakeholders
- Generate operational and administrative reports on a regular and ad-hoc basis
- Prepare, process, and monitor invoices and expense reports with accuracy and timeliness
- Handle multiple concurrent projects, prioritizing effectively to meet deadlines
- Assist with compiling and developing the annual budget as needed
- Direct and coordinate the work of support staff or junior administrative personnel as required
- Identify opportunities to improve site operations and implement practical solutions
Skills:
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously

- Proficiency in composing professional documents, reports, and presentations
- Solid understanding of budgeting, invoicing, and expense reporting processes

- Experience coordinating logistics such as meal planning, supply procurement, and space management

Experience:
- Minimum of 3-5 years of experience in an administrative or office management role, or in a closely related field
- Demonstrated familiarity with a wide variety of administrative concepts, practices, and procedures
- Proven track record of managing complex, multi-faceted administrative responsibilities
- Prior experience in a construction, industrial, or field-based site environment is strongly preferred
- Experience coordinating logistics, vendor relationships, or facilities management is a plus
Qualifications:
- High school diploma or equivalent required
- Additional coursework or training in business administration, office management, or a related discipline is a plus
