Qualifications

  • Associate’s Degree (AA/AS) or 2 Year Technical Certificate
  • Two (2) years of experience in Municipal Infrastructure or other related field
  • Defensive Driving certification within 60 days of hire

Responsibilities

  • Assists with processing permits and routes customers to appropriate departments
  • Prepares documents for meetings and tracks dates in various sheets; tracks deposits and refunds
  • Creates, emails, and tracks invoices and payments
  • Maintains an agenda for program meetings and ensures processes are followed by external organizers
  • Provides customer service and information about rentals and special events
  • Oversees maintenance of office, event supplies and equipment
  • Assists with event supervision on a rotation basis; supervises onsite staff during events
  • Travel within the city may be required

Description
Overview

The Administrative Support III position will support the Special Events and Cultural Services programs through administrative and event duties and provide administrative support to the Special Events/Cultural Services program manager. This position is responsible for answering phone calls, emails, provide customer service, create invoices and emailing them to customers, assist with special events meeting preparation, check deposits, and assisting with event rentals of city facilities and park and cultural service events. Administrative Support III will submit work orders to park operations and facility maintenance for events and maintain tracking spreadsheets, enter monthly information into various data sheets.

Responsibilities
  • Assists with processing permits and route customer to the appropriate departments
  • Prepares documents for meetings and enter date into various tracking sheets while tracking deposits and refunds
  • Creates, emails, and tracks invoices and payments
  • Maintains an agenda for program meetings to address new and current issues, ensures processes are followed by external organizers and status update
  • Provides customer service and information to internal and external customers who seek information about rentals and special events
  • Upholds professional image and level of support to all external and internal customers
  • Oversees maintenance of the organization, office, event supplies, screens, projectors, speaker systems, cords, and any other supplies obtained for events
  • Assists with event supervision on a rotation basis
  • Supervises execution of an event, managing onsite staff, and addressing onsite issues
  • Necessitates travel and driving within the city
Position Type and Typical Hours of Work
  • Flexibility to work evenings, weekends, and holidays is a schedule requirement
  • In the event of an emergency, employees are required to work to provide for the safety and well-being of the public, including the delivery and restoration of vital services

Minimum Qualifications
  • Associate’s Degree (AA/AS); or 2 Year Technical Certificate
  • Two (2) years of experience in Municipal Infrastructure or other related field

  • A valid driver’s license is required; successful out-of-state candidates must be able to obtain a valid Texas driver’s license within 90 days of hire
Required within Sixty (60) days of hire:
