Position Summary
The Office of the Vice Provost for EnrollmentManagement invites applications for the position ofAdministrative Support Coordinator. This positionprovides professional administrative, communication, finance, humanresources, and student support services for the Office of the ViceProvost, with direct support to the ViceProvost.
The Administrative Support Coordinator serves as a primary liaisonwith university partners, including deans, vice presidents, viceprovosts, faculty, staff, students, and campus departments. Therole includes regular support for the Student Response Center in1Capen, with increased time in 1Capen during peak periods. Thisposition is well suited for someone who enjoys variety,collaboration, and exposure to a wide range of universityfunctions.
Essential Responsibilities
- Prepare and distribute written and electronic communications onbehalf of the Vice Provost, including correspondence,presentations, agendas, and meeting materials.
- Manage a complex calendar, schedule meetings and appointments,prepare supporting materials, and develop travel itineraries.
- Oversee general office operations, including supplies,procurement requests, reimbursements, account reconciliation, andrelated administrative processes.
- Support Enrollment Management departments, division events,recruitment activities, staff functions, and special projects asassigned.
- Process personnel transactions.
- Assist with recruitment and onboarding.
- Run human resources reports for review.
- Assist with vendor management, including obtaining quotes andprocuring items for various marketing initiatives by keyingrequisitions into our purchasing system, coordinating purchaseswith vendors for on time delivery, and helping ensure projects aredelivered on time and within budget.
- Coordinate inventory and assist with distribution ofrecruitment publications, promotional items and event materials,ensuring adequate supplies for enrollment management events, traveland campus partners.
- Support the development of the quarterly Enrollment Managementnewsletter by collecting content and coordinating with campuspartners to ensure timely submissions.
- Maintain current knowledge of university policies, procedures,resources, and services connected to student success and studentneeds.
- Provide holistic student support by responding to inquiriesaccurately and empathetically and connecting students toappropriate campus and community resources.
- Work with campus partners to help students navigate complexmatters involving Admissions, Financial Aid, academic advising,Student Accounts, Campus Living, and other offices.
- Uphold a strict level of confidentiality when handlingsensitive information, communications, personnel matters, andexecutive-level materials.

Minimum Qualifications
- Associate's degree in an appropriate field and related experience.
- Experience supporting management in private or public settings.
- Strong interpersonal, verbal, and written communication skills.
- Ability to maintain confidentiality and exercise sound judgment and discretion.
- Strong decision-making skills, attention to detail, and ability to work independently with limited supervision.
- Excellent organizational skills, flexibility, reliability, resourcefulness, and ability to manage competing priorities in a complex organization.
- Strong calendar management skills and working knowledge of Microsoft Office applications, including Word, Excel, and PowerPoint.
- High level of customer service with students, staff, faculty, and other constituents.
Preferred Qualifications
- Bachelor's degree in an appropriate field.
- Experience supporting management at the executive level.
- Experience working in higher education.
- Experience with SUNY and/or NY state rules, regulations, and procedures.
- Knowledge of community and government operations.
- Ability to become familiar with university-specific programs and software.
- Proficiency in collaboration and delegation of duties.
- Exceptional interpersonal skills.
- Community volunteer experience.
Physical Demands
Salary Range
$60,000 - $65,000
