Job summary

The YMCA of Metropolitan Atlanta is seeking an Administrative Support Coordinator to coordinate administrative practices and data management for a Youth Center. Responsibilities include registration, billing and payments, tours for families, and reporting tuition figures daily.

The role requires strong communication, organization, and confidentiality, plus ability to obtain CPR/AED within 90 days. This on-site position offers growth in a nonprofit setting.

Qualifications

  • High School Diploma or GED required.
  • 1+ years of administrative support.
  • Must be 21 years of age.
  • Proficient with Microsoft Office Suite.
  • Excellent verbal and written communication.
  • Excellent organizational and time management skills.
  • Ability to handle confidential information.
  • Ability to obtain CPR/AED certification within first 90 days.

Responsibilities

  • Register and process tuition/CAPS billing and payments, including collections.
  • Conduct tours and communicate program details to families.
  • Maintain accurate tuition accounting daily/weekly and generate reports.
  • Keep front office areas neat and clean.
  • Provide supervision of site with Center Director absent.
  • Communicate with parents, supervise staff, and prompt decision making.
  • Perform weekly facility checks to ensure compliance with BFTS and YMCA guidelines.
  • Report equipment needs to Facility Manager and Leadership.
  • Attend required trainings related to scope of work.
  • Maintain incident/accident paperwork per BFTS and YMCA policies.
  • Interpret and disseminate organization policies within scope.

In the course of a year, we provide more than 3,000 children, ages 6 weeks through Pre-K with high-quality literacy and STEAM-infused learning; give 58,000 youth and teens access to sports, aquatics, day and resident camps, teen leadership development programs, and employment opportunities; provide over 200,000 members with programs, services, and facilities to enjoy connection and maintain wellness regardless of age; and engage over 25,000 volunteers and donors from across Atlanta to share in the gift of supporting their communities.NATURE AND SCOPE:Reporting to the Center Director, The Administrative Support Coordinator is responsible for the coordination and execution of all administrative practices, business and data management functions, and registration and billing processes.RESPONSIBILITES (including, but not limited to):Responsible for registration, tuition/CAPS billing and payment processing, including collections.Conduct tour and effectively communicate all aspects of the program.Maintain accurate accounting of the center tuition daily/weekly and generate reports according to company guidelines.Always keep front office areas neat and clean.Provide supervision of site in conjunction with and in the absence of the Center Director,Ensure parent communication, discipline, supervision of staff at site, and prompt decision making.Conduct weekly facility check to maintain facility compliance in accordance with Bright from the Start (BFTS) and Metro Atlanta YMCA guidelines.Document and report to Facility Manager and to Leadership any equipment repair or replacement needs.Attend required trainings related to the scope of work.Maintain and report incident/accident paperwork according to the BFTS and Metro Atlanta YMCA.Interpret and disseminate the organization’s policies and procedures within the position's scope and responsibilities.REQUIREMENTS:High School Diploma or GED1+ years of administrative supportMust be 21 years of ageMust have the ability to handle confidential and sensitive informationProficient with Microsoft Office SuiteExcellent verbal and written communication skills.Excellent organizational and attention to detail skills.Excellent time management skills with a proven ability to meet deadlines.Ability to function well in a high-paced and at times stressful environment.Must have the ability to multi-task priorities and assignments with minimum supervision.Ability to build relationships and interact and communicate positively with all levels of management, employees, volunteers, vendors, parents, etc.Ability to obtain CPR/AED certification within first 90 days of employment and will maintain the certification.PREFERRED REQUIREMENTS:Associates degree in Public Administration, Child Development, Human Resources, or related field and/or equivalent experience.Experience working in a child development center in an academic environment is preferred.Workday experience preferred.Non-profit experience preferred.Possess knowledge of family dynamics and family needs, community agencies and resources that provide services for familiesEmployment and Benefits package for this job posting is offered through the YMCA of Metropolitan Atlanta, Inc.Employment Requirement:Ability to pass a pre-employment background check including Criminal Record check, Drug Screening, motor vehicle record (MVR) and reference check according to company policy.Must be legally eligible to work in the US without current or future sponsorship.This job posting is subject to change at any time.The YMCA of Metropolitan Atlanta offers excellent benefits and career opportunities as part of our culture of excellence.
