Job summary

Boston Childrens Hospital is seeking an Administrative Supervisor who oversees administrative staff and coordinates resources to ensure quality patient experiences. This role monitors registration, scheduling, processing, and patient satisfaction from an operational perspective.

Responsibilities include hiring/training, policy compliance, payroll oversight, budget analysis, cost containment, and process improvements.

Qualifications

  • Associate's degree or equivalent experience required.
  • Bachelor's degree preferred.
  • 3 years of experience required.

  • Oversees procurement of office supplies; manages inventory and communicates cost-containment trends.
  • Identifies opportunities to improve registration, scheduling, and billing processes to enhance patient experience.

Job description

Position Summary:

Supervises administrative staff and ensures quality patient experiences through the effective management and coordination of physical and human resources. Monitors all registration/scheduling/processing activities and patient satisfaction from an operational standpoint.

Key Responsibilities:
  • Supervises administrative staff. Interviews, hires, orients, trains, develops and disciplines staff as necessary. Organizes work and work processes. Conducts annual performance appraisals and recommends merit increases in conjunction with manager and consistent with Hospital policy. Conducts regular staff meetings. Serves as point person when manager is absent.
  • Ensures all Program personnel are trained in Hospital policies and procedures as well as the appropriate features of the Hospital's information systems, including follow-up training and consultations. Ensures compliance with government regulations (such as DPH, licensure, JCAHO, OSHA, etc.) and third party payor billing requirements. Continually trains and cross-trains staff on a regular basis.
  • Organizes and maintains daily administrative operations of department. Prepares, verifies and monitors departmental payroll and maintains related records. Prepares periodic reports and documents to comply with hospital, governmental, regulatory and/or funding agency requirements. Coordinates administration of departmental fellowship and/or residency programs, training grants and related programs.
  • Ensures patient satisfaction by providing positive and effective customer service. Monitors and assesses management and operations for patient satisfaction. Recommends and implements improvements to service.
  • Participates in budget process by identifying and analyzing trends and patterns and prepares cost projections. Develops proposals to improve cost-effectiveness. Monitors budgets and payroll, resolves variances, prepares reports and maintains related records and documentation.
  • Purchases office supply needs through established department protocols to ensure efficient office operations. Monitors supply inventory/budgeting and identify and communicate trends and patterns to support cost containment and ensure appropriate use of supplies.
  • Maximizes revenue by ensuring all appropriate registration and administrative paperwork is generated at the time of patient registration and forwarded to the Hospital and/or Foundation in a timely manner for billing purposes. Identifies opportunities to change registration, scheduling and billing processes and procedures to enhance positive patient experience.
  • Works on special projects and provides detailed analyses and reports on findings as requested by management independently and generates custom analytical reports from billing system as requested by management.
  • Ensures integrity of in-house computer system. Makes recommendations to management on system changes and works with software programmer to implement changes.
Minimum Qualifications Education:
  • Associate's or equivalent experience

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.
