Job summary

Boston Children's Hospital is seeking an Administrative Support professional to assist the clinical service’s administrative operations and enhance the patient experience by coordinating services for patients and families.

Under supervision, you will handle scheduling, check-in/out coordination, calendars, and communications with various stakeholders, while contributing to process improvements across the department.

Qualifications

  • High school diploma or GED required; Bachelor's degree preferred.
  • Previous customer service or administrative experience preferred.
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

Responsibilities

  • Patient Encounter Management: Providing positive and effective customer service that supports unit operations.
  • Check In / Check Out: Greeting and directing patients, families and visitors; coordinating flow with clinicians.
  • Administrative: Maintaining personal calendars for physician/supervisor; scheduling meetings and events; triaging calls.
  • Process Improvement: Contributing to initiatives with focus on continuous improvement; implementing changes in internal systems.

Job description

Position Summary

Works under close supervision to provide support to the administrative operations of a clinical service and works to ensure the best possible patient experience by effectively coordinating services to patients and families. Demonstrates interest in and ability to departmental and organizational initiatives & projects with a focus on continuous process improvement. Performs various administrative functions requiring basic knowledge of programs and services. Provides positive and effective customer service that supports departmental and hospital operations.

Key Responsibilities
  • Patient Encounter Management:
    • Providing positive and effective customer service that supports unit operations
    • Collaborating with referring providers and practices
    • Obtaining required authorizations to compile patient and staff schedules
    • Scheduling patients and supporting the patient encounter
  • Check In / Check Out:
    • Greeting and directing patients, families and visitors
    • Monitoring daily schedule and coordinating flow with clinicians/supervisor
    • Reconciling payments and preparing deposits, providing record of transactions in Hospital systems
    • Facilitating and directing communication with Financial Counseling
  • Administrative:
    • Maintaining personal calendars for physician/supervisor
    • Scheduling meetings, programs and events
    • Recording and forwarding messages, triaging call for urgent information or services, initiating call for emergency services
    • Providing routine clerical support as needed
  • Process Improvement:
    • Actively contributing to departmental and organizational initiatives and projects with focus on continuous process improvement
    • Assisting in implementing change in internal systems and procedures
Minimum Qualifications
Education
  • High school diploma or GED required. Bachelor's degree preferred
Experience
  • Previous customer service or administrative experience preferred
  • Ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations
  • Ability to work with diverse internal and external constituencies
Schedule

Monday - Friday, Hybrid, rotating schedule 6:30am to 8pm.

The posted pay range is Boston Children's reasonable and good-faith expectation for this pay at the time of posting.

Any base pay offer provided depends on skills, experience, education, certifications, and a variety of other job-related factors. Base pay is one part of a comprehensive benefits package that includes
