Job summary

CoreCivic is seeking an Administrative Supervisor to provide administrative support to facility management and supervise clerical staff in a secure setting. You will coordinate general office functions, maintain records, and liaise with partner agencies and legal representatives.

The role requires at least five years of related experience, strong organizational skills, and a valid driver’s license. Training and performance evaluations will be part of your responsibilities to ensure compliance

Qualifications

  • High school diploma, GED or equivalent is required.
  • Five years of experience in full-time secretarial, administrative office work or office management is required.
  • One year of supervisory experience is preferred.
  • Experience in Microsoft Office applications is required.
  • A valid driver's license is required.
  • Minimum age requirement: Must be at least 21 years of age.

Responsibilities

  • Supervises general office and administrative staff and conducts performance evaluations.
  • Maintains and organizes general files and reports with confidentiality and security in mind.
  • Assists in managing facility resources and inventories.
  • Prepares and maintains management reports and records as required by management, contracting agency, or regulations.
  • Acts as liaison with partner agencies and legal representatives, responding to inquiries or directing to appropriate staff.

The Administrative Supervisor provides administrative support to facility management, and supervises the performance of general clerical and administrative support functions. Serves as a liaison with partner agencies and legal representatives, responding to inquiries or requests, or referring to appropriate staff as needed.

  • Supervises general office and administrative support staff in the performance of their duties and evaluates as prescribed by the facility and company policy. This includes, but is not limited to, training new employees, evaluating performance and preparing performance appraisals, listening to concerns and effectively resolving disputes or issues, taking corrective or disciplinary action, developing work schedules for subordinates, and approving leave requests.
  • Supervise the creation and maintenance of general files or other routine reports in an organized manner, to include sorting, labeling, filing and retrieving, in accordance with company file retention and storage procedures; maintains confidentiality and security of records.
  • Assist in the effective management of facility/department resources; assists in conducting physical inventories; maintains facility inventories as requested.
  • Compile, prepare and accurately maintain a variety of documents and standard operating records and reports, including those required by management, contracting agency and/or government regulations.
Qualifications
  • High school diploma, GED certification or equivalent is required.
  • Five years of experience in full-time secretarial, administrative office work or office management is required.
  • One year of supervisory experience is preferred.
  • Additional qualifying education at an accredited college, business school or technical institute in office administration or a related field may be substituted for the required experience on a year-for-year basis up to two years.
  • Must possess strong attention to detail and a high level of organizational skills.
  • Experience in Microsoft Office applications or other similar software applications is required.
  • A valid driver's license is required.
  • Minimum age requirement: Must be at least 21 years of age.
