Job summary

Victor is seeking an Administrative Supervisor to provide comprehensive office support at the designated site locations under the direction of the Administrative Manager.

The role involves partnering with site leadership, supervising administrative staff, and ensuring alignment with Agency standards, including payroll support and records management. A valid CA driver’s license and strong communication are required.

Qualifications

  • High School Diploma or GED is required.
  • Two years of administrative support experience is required.
  • Proficient in Microsoft Office and related tools.
  • Excellent verbal and written communication skills are essential.
  • Valid California driver’s license and clean driving record may be required.

Responsibilities

  • Partner with site leadership to provide administrative support aligned with Agency standards.
  • Supervise and develop administrative associates at the site.
  • Communicate effectively with site personnel regarding tasks and processes.
  • Lead the site-based administrative team to ensure timely, accurate task completion.
  • Oversee implementation and maintenance of program accounting and records management systems.
  • Provide payroll processing support and administrative functions as needed.
  • Perform other duties as assigned.

Job Summary

Under the direction of the Administrative Manager, the Administrative Supervisor is responsible for providing office support services at the assigned site(s).

Essential Functions
  • Partners with site leadership to provide administrative support in alignment with Agency standards.
  • Supervises, directs and develops the administrative associates assigned to the site.
  • Communicates effectively with appropriate site personnel in a professional manner regarding assigned tasks that integrate with site processes.
  • Leads site-based administrative team to ensure timely and accurate completion of tasks and projects as assigned.
  • Leads site-based implementation of new or modified administrative processes to ensure alignment with regional and Agency standards.
  • Oversees implementation and maintenance of program accounting system, systems for controlling incoming and outgoing written communications, data collection and comprehensive records management.
  • Provides oversight and support for the following: a) Manage site needs, b) On-site technical support to all staff, c) Payroll processing, d) Manages psychiatric department needs, and e) Administrative functions (if assigned to Administrative Office).
  • Completes other duties as assigned.
Minimum Required Education and Experience
  • Must possess a High School Diploma or general education degree (GED).
  • Must have two years of previous administrative support experience in a similar role.
  • Effective verbal and written communication skills.
  • Proficient in all Microsoft products.
Desired Qualifications
  • Previous experience providing general administrative support in a Mental Health, Behavioral Health, or Social Services setting.
  • Previous supervisory experience.
Position/Program Requirements
  • Must possess a valid California driver's license, personal automobile insurance and driving record that meets the standards outlined in the Agency’s Personnel Policy: Motor Vehicle Operating Standards.
  • Must be physically and mentally fit in accordance with the Agency’s Personnel Policy: Physical Fitness Standards and Examinations. Must be willing to complete a Tuberculosis (TB) test and drug screening test.
  • Must complete a personal background investigation conducted by the State of California.
  • Must be willing to work within a culturally integrated workplace and be willing to respect human differences based upon protected classes as defined by state, federal and local laws, or any other condition that distinguishes people from one another.
Physical Requirements
  • Have an adequate range of body motion and mobility to work in a residential, office or outdoor environment including standing and walking (even and uneven surfaces), alternating between standing and sitting for extended periods of time, bending, kneeling, twisting, reaching balancing and occasional carrying and lifting up to 25 pounds occasionally, and up to 10 pounds frequently.
  • Physically able to walk up and down stairs routinely.
  • Physically able to perform CPR and First Aid as trained.
  • Must be able to sit for prolonged periods of time in a vehicle for traveling to recreational activities, home visits, DCFS and court locations which may be up to 100 miles driving distance.
  • Requires the ability to utilize computer and telephone systems, which includes the coordination of eye and hand and fine manipulation by the hands and fingers for typing, writing and working with files.
Compensation
  • Pay Range: $28.44/per hour - $39.11/per hour (actual salary is dependent on verification of applicable experience above the minimum qualifications for the role)
