- Provide general information regarding department operations services provided, police case numbers, and reports
- Route mail and other correspondence or information to its intended recipient
- Maintain official records for the Police Department
- Properly files official documents for future retrieval
- Review and destroys records as retention period expires and keeps track
- Process Open Records Requests for departmental reports and other archived data and information
- Complete records checks
- Provide exceptional customer service
- Responsible for the accuracy of National Incident-Based Reporting System (NIBRS) data sent to the State and Federal Bureau of Investigation (FBI)
- Ensure all offense reports are validated through the NIBRS system
- Provide copies of accident and/or offense reports to person(s) upon request
- Answer the Police Department’s phone lines and address those calls accordingly
- Retrieve and provide reports and other archived information to requesting officers
- Prepare arrest case packets for officers as needed
- Screen incoming calls to establish the nature and priority of the call and forward the call to the appropriate person or department
- Maintain calendars, plan and schedule meetings and events. Coordinate space, equipment, and other resources
- Monitor and maintain office supplies and related equipment
- Maintain, file, and enter data into the computer system, including offense reports, crash reports, and citations
- Process other paperwork associated with arrests
- Organize offense reports and subpoenas
- Assist with public records and fingerprinting
- Assist in approving information, offense, and arrest reports in accordance with relevant statutory guidelines, internal policies, and general orders
- May be required to do some in-town travel
- Perform other duties as assigned
- High school diploma or equivalent
- Two (2) years of paid administrative support experience in an administrative or clerical role
- Training and experience using a personal computer with a variety of software including Microsoft Office
- Valid Texas Driver’s License
- Reliable transportation and liability insurance
