Job Title

Administrative Specialist II

Job Summary

Under the supervision of the Eligibility Manager, performs routine and complex administrative duties independently, providing daily support to regional staff involved in operations. Responsibilities include managing inquiries, paperwork, scheduling, calendar and travel management, supporting staff meetings, and preparing reports and presentations.

Key Responsibilities
  1. Support administrative functions for the region, promoting an efficient and professional work environment. Serve as liaison with HR, staffing vendors, and other agency vendors.
  2. Maintain a complex calendar for the Eligibility Manager, coordinate meetings, prepare agendas, take minutes, and organize travel arrangements.
  3. Assist with workforce engagement and support leadership functions in accordance with policies, regulations, and EEOC standards.
  4. Manage office supplies, equipment, and furniture needs, including requisitions and inventory management. Serve as backup for creating shopping carts and processing requisitions.
  5. Attend meetings and training, maintain schedules, complete tasks timely, and support emergency duties as needed.

Minimum Qualifications
  • High school diploma and relevant clerical or administrative experience. A bachelor's degree may substitute for experience.
  • Occasional overnight travel, ability to sit/stand for long periods, lift up to 20 lbs, and work overtime/weekends with approval.
  • Knowledge of relevant laws, regulations, and policies. Ability to perform routine administrative duties and exercise discretion. Adherence to confidentiality rules, including HIPAA and Medicaid.
