Job summary

Benton County Sheriff's Office in Oregon seeks an Administrative Specialist 1 to perform a range of complex administrative and clerical tasks, manage confidential information, and support parole and probation operations.

Proficiency in Excel and PowerPoint is required. A High School Diploma or GED with 4 years of admin experience is essential. A background check and driving may be required as part of the process.

Responsibilities

  • Perform complex administrative and clerical duties per departmental policies and regulations.
  • Receive, process, record, and distribute confidential information and provide general support to offenders (scheduling, social services, job search).
  • Maintain records of financial transactions and prepare/process fees and billings.
  • Develop and maintain Excel spreadsheets with formulas for data tracking and statistical analysis.

Job description

This position works in the Parole & Probation Division of the Sheriff’s Office performing a variety of complex administrative and clerical duties requiring knowledge of departmental policies and regulations and the exercise of judgment in receiving, processing, recording, and distributing confidential information. Assistance to offenders in developing schedules, advising of available social services, job search techniques, giving directives, transportation and other general support. Maintains records of financial transactions; prepares and processes fees and billings within an established system. Develops and maintains Excel spreadsheets that include creating formulas to track and calculate data for statistical analysis.

  • Annual salary range of:
    • Administrative Specialist 1 (AS1):$42,463-$66,684

MINIMUM QUALIFICATIONS

The following minimum qualifications are REQUIRED for this position:

Administrative Specialist 1 (AS1):
  • High School Diploma or GED AND;
  • Four (4) years administrative experience, including word processing, clerical functions or related experience.

An equivalent combination of education and experience may be considered. Please note candidates must have at least one year of actual work experience to be considered as equivalent. Your application will be used to determine salary placement based on a pay equity assessment.

Special Requirements
  • Hiring is contingent upon the successful completion of a background check.
  • Valid Oregon driver's license. This position requires driving and may require use of a personal vehicle.
  • Law Enforcement Data System (LEDS) certification must be obtained within 60 days of hire.
  • CPR/First Aid and Notary Public certifications must be obtained within 60 days of hire.
  • Must be proficient in Excel and PowerPoint.

  • Ability to interpret and understand confidentiality regulations and laws, including but not limited to HIPAA, Oregon Administrative Rules and Oregon Revised Statutes; relay appropriate information to citizens, offenders, community partners, and the public.
  • Must be able to communicate effectively both verbally and in writing.
Diversity of Contacts

Variety of external contacts with other county and state community corrections agencies, law enforcement, corrections, DA's Office, and judicial personnel; contacts with victims, citizens, treatment providers and social service agencies. Ongoing contact with criminal offenders who can be hostile and uncooperative.
