Position: Safety Administrative Assistant

This role supports our Safety Department by maintaining compliance, ensuring accurate documentation, and promoting safety culture across projects. The ideal candidate is organized, proactive, and professional, capable of managing various administrative responsibilities efficiently.

Essential Functions
Safety Administrative Duties
  • Handle safety procurement and prequalification documentation
  • Coordinate employee drug screenings and maintain related records
  • Track incidents, near misses, and injuries
  • Perform data entry for safety visits, inspections, and audits
  • Monitor safety inspections and follow-up actions
  • Maintain safety records and reports
  • Support Safety Director and team with administrative tasks
  • Assist in preparing safety reports and communications
  • Update safety platforms with new hires and onboarding info
Operations & Compliance Support
  • Coordinate drug screens, MVRs, and DOT compliance
  • Maintain job tracking spreadsheets
  • Update safety code cards and prequalification resumes
Onboarding & Safety Documentation
  • Assist with medical records and workers' compensation admin
  • Support safety training and orientation onboarding
  • Ensure OSHA and safety policy compliance
  • Maintain training spreadsheets and employee certificates
Additional Duties
  • Assist with internal communications and safety projects
  • Organize construction kick-offs and safety conferences
  • Support safety training admin tasks on-site
Job Requirements

Qualifications:

  • High school diploma or equivalent; college preferred
  • OSHA 10 or 30 preferred
  • Previous admin experience
  • Attention to detail and organization skills
  • Proficient with Microsoft Office
  • Discretion handling confidential info
  • Strong communication and time management skills
  • Willing to learn and grow in safety/construction

Working Conditions:

  • Office-based with occasional site visits
  • Ability to sit, stand, walk, lift up to 25 lbs.
  • Comfortable in diverse environments
  • Travel about 35% to sites and training
  • Extended hours may be needed

Additional skills include industry-specific knowledge, interpersonal skills, multi-project management, professionalism under stress, and public speaking ability.
