Job Summary

The Coordinator also supports the business manager with monthly budget reconciliation and expense accounting and works closely with Care New England’s Research Finance Department.

They prepare vendor agreements and contracts, purchase supplies for clinical trials, and handles billing and invoicing activities, including maintaining invoice tracking records. The Coordinator also supports the business manager with monthly budget reconciliation and expense accounting and works closely with Care New England’s Research Finance Department.

Duties & Responsibilities
  • Coordinates administrative aspects of research activities among grants.
  • Maintains up-to-date knowledge of computer hardware and software systems sufficient to carry out assigned duties, including timekeeping.
  • Has knowledge of regulations, procedures and policies, special programs and endeavors of supervisors.
  • Maintains up-to-date knowledge of references formats commonly used by publications to which project staff members are likely to submit.
  • Acts as a central research authority for all projects; organizing and coordinating purchasing, maintenance, and computer department requests.
  • Helps prepare and review grant submission according to federal guidelines.
  • Interfaces with grants management office and federal funding agencies/private industry sponsors.
  • Maintains and oversees core budget for all projects using already available software.
  • Helps prepare annual equipment audit for accounting purposes.
  • Participates in recruiting personnel for all research projects.
  • Prepares slides, graphs and visual presentations for scientific conferences.
  • Schedules appointments and answers telephone.
  • Types manuscripts for publications and grant applications using word processing.
  • May make travel arrangements and keep expense records.
  • Maintains office supplies for all staff use.
  • Takes minutes of clinical and research meetings for project.
  • Prepares for computerized literature searches requested by project staff and works with the hospital librarian in performing the searches.
  • Observes all relevant risk management and infection control policies and procedures and any applicable quality improvement activities.
  • Attends orientation and ongoing in-service education as required.
  • Preserves the confidentiality of all hospital-related business.
  • Observes all general hospital policies, guiding principles, rules and regulations.
  • Consistently adheres to Kent Hospital’s service standards.
  • Performs other duties as assigned.
Requirements
  • Bachelor's Degree Required; equivalent combination of education and relevant experience may be considered in lieu of bachelor’s degree.
  • Minimum 1 to 3 Years of bookkeeping experience is preferred.
  • Strong attention to detail, organizational skills, and being a self-starter.
  • Proficient in Microsoft Office, specifically Word, Excel, PowerPoint, and Outlook.
  • Skilled in filing, typing, and general computer skills.
  • Ability to maintain, organize and track departmental records.
  • Good interpersonal and communication skills.
