Job summary

The Lakefront Management Authority seeks a Contracts and Grants Coordinator to manage grant funding, track expenditures, and oversee the leasing process for the agency.

You will serve as the primary contact for FAA, state DOT and Development departments, ensuring compliance with applicable laws, policies, and regulations while coordinating across federal, state, and local partners. This entry-level management role emphasizes accuracy, policy adherence, and efficient administration.

Qualifications

  • Four years of administrative services experience required.
  • Bachelor’s degree plus one year of administrative services experience; or an advanced degree.
  • Experience substitutions allow college credit hours to count as experience (max 120 semester hours).

Responsibilities

  • Serves as point of contact for grants with FAA, DOT, and other entities.
  • Collaborates with Admin Program Manager to identify funding needs and sources.
  • Researches and identifies grant opportunities at federal, state, local, and private levels.
  • Coordinates grant submissions to ensure compliance with laws and regulations.
  • Assists in development and preparation of complex grant requests and applications.
  • Ensures grants are administered in accordance with applicable laws and grant provider requirements.
  • Receives grant funds and maintains financial records as required.
  • Coordinates processing of funds with Admin Program Manager.
  • Maintains grant management documents and records per retention policy.

Job description

Mission:

The Lakefront Management Authority manages, controls, regulates, operates, and maintains any non-flood-protection facility or improvement asset or function within a levee district within the jurisdiction of a flood protection authority.

Overview of the Role:

This position serves as the Contracts and Grants point of contact as well as lease manager for the Agency. The position is responsible for the coordination of federal and state grant funding management and the coordination of efforts associated with tracking all authority expenditures. The position is responsible for the coordination of the leasing process for the agency.

Experience Requirements:
  • Four years of experience in administrative services; OR
  • Six years of full-time work experience in any field plus one year of experience in administrative services; OR
  • A bachelor's degree plus one year of experience in administrative services; OR
  • An advanced degree.

EXPERIENCE SUBSTITUTION: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

SUPERVISION RECEIVED:

General from higher-level supervisory personnel.

SUPERVISION EXERCISED:

May supervise 1-2 lower level personnel.

JOB DISTINCTIONS:

Note: Agency impact, hierarchy, and reporting relationship patterns will be considered when making allocations to this level.

Differs from Administrative Coordinator 4 by the presence of professional duties that involve a variety of administrative functions or responsibility for a specialized departmental or statewide program.

Differs from Administrative Specialist--B by the absence of a moderate degree of complexity, impact, or independence in assigned duties and program areas.

Job Duties:
  • Serves as a point of contact for the FAA, Departments of Transportation and Development, and any and all other Federal, State or local public and private entities relative to grants.

  • Works under the Admin Program Manager to identify needs and potential funding sources.

  • Researches and identifies potential Federal, State, local government, and private sector grant opportunities as requested.

  • Coordinates with Federal, State, and local government and private sector grants management officials and other sources to submit grant requests and applications, ensure that submittals conform to appropriate laws, policies, requirements, and regulations, and to resolve any potential issues.

  • Assist with the development and preparation of complex grant requests and applications in accordance with statutory and regulatory requirements and departmental policies and procedures.

  • Ensures grants are administered in accordance with all Federal, State, and local laws, regulations, and requirements, as well as all rules and requirements of the grant provider. Identifies and promptly resolves any related issues.

  • Receives grant funds and ensures financial records are maintained as required for the grant program.

  • Coordinates with the Admin Program Manager regarding processing of funds.

  • Maintains documents and records for the grant management program and ensures compliance with record retention policy and grant requirements.
