Job summary

The University of Utah's Spencer Fox Eccles School of Medicine, Office of Student Affairs, is seeking an Administrative Program Coordinator to support Student Affairs programs, the VSLO program, PIF, and front office operations in Salt Lake City.

Responsibilities

  • Support the VSLO Program Manager with initial application review, eligibility assessment, fee processing and tracking course evaluations
  • Assist with post-decision document review
  • Collaborate with coordinators and leadership to support visiting learner experiences and ensure program efficiency
  • Support the Professional Identity Formation initiative, including travel and award processing, food ordering, and event support
  • Act as a contact for students, faculty and guests, maintaining a welcoming environment
  • Support front office operations including supplies, scheduling, facilities requests, room scheduling and student lockers
  • Provide cross-functional support to the Registrar's Office including student records management and course catalog auditing
  • Assist with VSLO onboarding requirements including immunization records, background checks, HIPAA and OSHA training
  • Coordinate affiliation agreements with external institutions hosting visiting students
  • Ensure visiting student records are complete and compliant with policies and FERPA

Administrative Program Coordinator, Student Affairs

The Office ofStudent Affairs with the Spencer Fox Eccles School ofMedicine (SOM) works closely with medical students to ensure they feel supported and successful during their time at the SOM by facilitating the personal and professional development of the students through accessibility, professionalism and collaboration.

The Administrative Program Coordinator provides administrativesupport to the SOM Student Affairs team. Assists medical studentsby supporting Student Affairs Program Managers, the VisitingStudent Learning Opportunities (VSLO) program, ProfessionalIdentify Formation (PIF), and front office support. This positionwill cross-train in all aspects of Student Affairs, including involvement in and completion of recurring projects and events, andprovides additional support to other Student Affairs team membersduring busy seasons.

Responsibilities
  • Support the VSLO Program Manager with initial applicationreview including eligibility assessment, processing of fees andtracking course evaluations.
  • Support post-decision document review
  • Collaborate with departmental coordinators and student affairsleadership to support visiting learner experiences ensuring thatthe institution's visiting student program operates efficiently,consistently, and in alignment with institutional goals andnational best practices.
  • Support Eccles Innovation Scholars initiative for theProfessional Identity Formation program, including travel and awardprocessing, food ordering, and event support.
  • Act as a point of contact for the School of Medicine'students, faculty and guests; maintains a welcoming and positiveenvironment within the Office of Student Affairs.
  • Support front office operations including ordering andmaintaining supplies, scheduling support, facilities/buildingrequests, room scheduling, student lockers and other duties asassigned.
  • Provides administrative support to Student Affairs staff andserves as a general point of contact for the Dean's office. Directsinquiries, visitors, and other requests to the appropriate staffmember or unit, helping ensure that questions and needs areaddressed efficiently and effectively.
  • Act as a direct point of contact for student inquiriesregarding wellness resources, academic support, or generalguidance.
  • Co-lead and/or support Student Affairs event committees andevents.
  • Support after-hours events and activities.
  • Build and update school of medicine web pages.
  • Help Program Assistant with front office coverage, schedulingmeetings, reserving rooms, ordering supplies for the StudentLounge/office, and ordering catering for class-wide events.
  • Helps Program Assistant as needed scheduling meetings byreserving rooms on Astra for students and staff at the School ofMedicine.
  • Provide cross-functional support to the Registrar's Office byassisting with student records management, auditing the coursecatalog, and supporting other operational priorities during peakperiods. Maintain cross-training on Registrar functions, assistwith management of the shared departmental email inbox, and respondto program-related communications as needed.
  • Assist with VSLO onboarding requirements, includingverification and tracking of immunization records, backgroundchecks, drug screening, HIPAA training, OSHA training, and otherinstitutional compliance requirements.
  • Coordinate and maintain affiliation agreements with externalinstitutions that host outgoing visiting students.
  • Ensure visiting student records are complete, accurate, andmaintained in accordance with institutional policies, FERPA, andapplicable privacy regulations.
  • Perform other duties as assigned in support of the Office ofStudent Affairs and Undergraduate Medical Education
Minimum Qualifications

Bachelor's degree in a related field or equivalency (one year ofeducation can be substituted for two years of related workexperience), plus one year of directly related experience

Demonstrated ability to work independently, analyze and makedecisions related to program content. Strong coordination andorganizational skills required to prioritize conflicting deadlines.Demonstrated human relations and effective communication skills arealso required.
