What You'll Do
The Bureau of Regulatory Operations is seeking a candidate to fill the Administrative Professional 1 position. This position:
- Types technical material developed from written copy or oral instructions.
- Types/prepares various routine documents (e.g., printed reports, correspondence letters, meetings, and emails, travel, expense, form letters) in accordance with established procedures.
- Ensures accuracy by proofreading all documents and makes necessary corrections as needed.
- Organizes and tracks all email and letter correspondence.
- Prints documents from email and compiles for supervisor, processes survey reports from state & federal data systems.
- Answers main phone lines and provides customer service to external & internal callers, takes messages, screen and directs calls to appropriate people.
- Acts as liaison for the bureau to facilitate the processing of information.
- Logs, tracks and monitors time frames for all correspondence & signature items.
- Prepares reports.
- Monitors and maintains bureau’s electronic mailbox.
- Assists with preparation of reports by obtaining necessary data or information.
- Transcribes minutes from meetings and emails to attendees.
- Follows established travel arrangements for staff procedures/processes.
- Maintains and assists in scheduling of bureau meetings and events using Teams and Outlook.
- Creates spreadsheets, charts and Power Point documents using Microsoft Office software.
- Gathers, researches, and prepares data for public record requests reviews and or audits.
- Develops, maintains and organizes an accurate filing system.
- Processes incoming and outgoing mail.
- Develops security entrance memo’s and acts as main contact person on floor to retrieve external/internal guests from security.
- Retrieves packages from security and delivers to appropriate staff.
- Faxes and scans outgoing documents, receives and process faxes.
- Maintains inventory of office supplies and orders as needed.

Position Qualifications
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications. For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.
