The College of Arts and Sciences has an outstanding opportunity for an Administrative Operations Supervisor to join their team.

About this Opportunity

Reporting to the College Director of Administration and Change Management, the Administrative Operations Supervisor is responsible for maintaining the highest standards of operations and administrative support, communication, and supervisor responsibility to cohort departments.

The Administrative Operations Supervisor manages a total of six AA3s within the cohort assigned to eight departments and/or programs:

Social Sciences 2 Cohort
  • Department of Geography
  • Department of History
  • Department of Law, Societies & Justice
  • Department of Political Science
  • Disability Studies Program
Humanities 2 Cohort
  • Department of Cinema and Media Studies
  • Department of English
  • Department of Linguistics
Key Responsibilities

Program Operations & Administrative Services Leadership (35%)

  • Oversee day-to-day administrative support operations for assigned Social Sciences and Humanities departments.
  • Coordinate administrative service delivery across cohort departments to ensure consistent, effective, and customer-focused support.
  • Establish operational priorities and ensure departmental and college deadlines are met.
  • Develop, implement, and assess administrative procedures and service standards.
  • Identify opportunities for process improvement and operational efficiencies across the cohort.
  • Serve as a liaison between departments, the Administrative Support Team (AST), and Dean’s Office leadership to facilitate communication and problem resolution.
  • Assist with implementation of administrative initiatives, organizational changes, and service model enhancements.

Staff Supervision & Workforce Development (30%)

  • Recruit, hire, onboard, train, supervise, and evaluate Administrative Assistant staff.
  • Establish work assignments and allocate resources to ensure equitable workload distribution and service coverage.
  • Conduct regular one-on-one meetings with staff to support performance, professional development, and service excellence.
  • Manage employee performance, including coaching, corrective action, and recognition.
  • Foster a collaborative team culture focused on continuous improvement, cross-training, and knowledge sharing.
  • Develop onboarding and training materials for administrative support staff

Department Leadership Support & Consultation (20%)

  • Maintain regular meetings with Department Chairs and departmental leadership to assess administrative support needs and priorities.
  • Advise department leadership regarding administrative processes, procedures, and available resources.
  • Coordinate administrative support for departmental initiatives, special projects, and operational activities.
  • Assist in identifying and resolving operational issues affecting departmental
    effectiveness.

Program Planning, Assessment & Reporting (10%)

  • Monitor administrative service operations and develop recommendations for
    improvement.
  • Collect, analyze, and report operational metrics and workload data.
  • Prepare reports and recommendations for Dean’s Office leadership regarding staffing, workload, and service needs.
  • Participate in planning efforts related to shared services operations and administrative support strategy

General Administration (5%)

  • Participate in meetings and committees related to administrative services and shared operations.
  • Collaborate with other Program Support Supervisors and operational leaders to establish best practices.
  • Perform other duties as assigned.
Required Qualifications

Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Minimum Qualifications:
  • High School/GED AND five years of office or administrative support experience to include one year of experience as a lead or supervisor.
  • Applicants who do not meet these qualifications WILL NOT be forwarded to the Hiring Manager.
Preferred Qualifications:
  • Bachelor’s degree and three years of progressively responsible administrative, program operations, or office management experience, including supervisory responsibilities; or equivalent combination of education and experience.
  • Demonstrated experience of supervising staff and managing workload distribution.
  • Experience developing and implementing operational procedures and process
    improvements.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Experience in higher education administration.
  • Experience supporting multiple departments or units in a shared services environment.
  • Experience with organizational change management and service delivery models.
  • Experience using enterprise administrative systems and reporting tools.
Working Conditions
  • This position is hybrid eligible with a maximum of two (2) days’ remote work following the first 90 days of employment. Work location is otherwise on main campus in Seattle, WA. Work hours are 8am-5pm, Monday – Friday.
Compensation, Benefits and Position Details

Pay Range Minimum:

$57,252.00 annual

Pay Range Maximum:

$76,992.00 annual
