What you will be doing

Administrative Office Specialist Duties and Responsibilities:

  1. Triages phone calls and patient inquiries professionally and efficiently. Retrieves messages from EPIC in baskets and Microsoft Teams, returning messages by end of day.
  2. Promotes a professional atmosphere through courteous communication, cooperation, and respect for patients, visitors, and healthcare team members.
  3. Observes and respects privacy and confidentiality according to HIPAA policies.
  4. Collaborates with peers, physicians, and team members as appropriate.
  5. Drafts correspondence and other written communications as requested.
  6. Sends welcome letters to new patients, informing them of expectations regarding their experience at HSS West Palm and/or Wellington.
  7. Ensures all perfect serve messages are checked for providers at the start of each shift and office emails are triaged and answered daily.
  8. Checks all provider faxes, delivers signatures needed to return plans of care, and ensures completion by the end of each business day.
  9. Verifies that all patients have MYHSS activated and that virtual visit questions are addressed before appointments.
  10. Verifies and updates patient and insurance information, obtaining authorizations as needed.
  11. Reports for duty punctually and attends all staff and department meetings, with camera on if virtual.
  12. Maintains satisfactory attendance and manages time appropriately to meet department needs.
  13. Supports department goals and objectives.
  14. Scans documents into electronic medical records following hospital guidelines.
  15. Promotes teamwork through cooperation.
  16. Provides detailed telephone encounters with patients.
  17. Passes quarterly telephone audits.
  18. Escalates calls or patient issues to the office manager as needed.
  19. Assists other departments when appropriate, maintaining professional communication.
