About the Role

The Administrative Manager is responsible for overseeing all facility-level administrative functions to ensure efficient plant operations, compliance, and organizational support. This role manages administrative staff, document control, and facility services while acting as a central coordination point between internal departments and external vendors. The position ensures strong governance over documentation, office operations, and internal processes without duplicating core operational or functional responsibilities.

What You’ll Do
  • Administrative Operations Management
  • Lead and manage all administrative functions within the manufacturing facility
  • Supervise administrative staff (Administrative Assistants, Document Control, Reception, Facilities Coordination)
  • Establish and maintain efficient administrative processes and workflows
  • Ensure timely and accurate support to plant leadership and cross-functional teams
  • Develop and enforce administrative policies and procedures
Document Control & Compliance
  • Oversee document control processes for SOPs, work instructions, and controlled documentation
  • Ensure proper version control, approvals, and distribution of documents across departments
  • Maintain audit-ready documentation aligned with quality standards (e.g., ISO, internal audits, customer requirements)
  • Support internal and external audits by ensuring documentation accuracy and availability
Facility & Office Services Management
  • Oversee facility-related services including maintenance, cleaning, utilities, and office supplies
  • Manage third-party vendors and service contracts (janitorial, security, office equipment, etc.)
  • Coordinate workspace planning, office layout, and administrative support for production and office teams
  • Ensure compliance with workplace standards in coordination with EHS
Cross-Functional Coordination
  • Act as the administrative liaison between other departments
  • Support onboarding logistics (workspace, system access coordination, documentation)
  • Coordinate internal communications, meetings, and executive-level support
  • Assist in implementation of company-wide initiatives at the facility level
  • Arrange all Travel for employees, hiring candidates and visitors
Data & Reporting
  • Support preparation of reports, presentations, and operational summaries for plant leadership
  • Maintain records for training, compliance, and facility-related documentation
Cost & Budget Management
  • Manage administrative budget (office supplies, services, contracts)
  • Identify cost‑saving opportunities without impacting operational efficiency
  • Monitor vendor performance and ensure services align with contractual agreements
Supervisory Responsibilities
  • Manage Administrative Department related employees including Front Desk personnel
What We’re Looking For
  • Bachelor’s degree in Business Administration, Operations, or related field (or equivalent experience)
  • 5–10+ years of administrative or office management experience in a manufacturing environment (required)
  • Experience managing teams and cross-functional coordination
  • Familiarity with ERP systems (e.g., SAP) and document control systems
  • Strong organizational and process management skills
  • Excellent leadership and team management capabilities
  • High attention to detail, especially in documentation and compliance
  • Ability to manage multiple priorities in a fast‑paced manufacturing environment
  • Strong communication and stakeholder management skills
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint)
Additional Information

Work is performed in an office environment. Must have a valid driver’s license with clean driving record. Overtime may be necessary, including weekdays, weekends, and holidays.
